Receiving & Inventory Lead Position Description

Title: Receiving & Inventory Lead Days Off: Saturday & Sunday

Department: Receiving Status: Non-Exempt

Reports to: Zone Manager

Position Summary:

The primary responsibility of the Receiving & Inventory Lead is to ensure the availability of product to Customers and Sales Team Members by maintaining an accurate, reliable, effective, and efficient receiving department. The Receiving & Inventory Lead is responsible for supervising all receiving department activities and handling the administrative elements of the receiving process, including defectives processing. This position also conducts specific types of cycle counts, processes certain types of shrinkage, and helps coordinate the annual physical inventory. This position works under minimal supervision and must work closely with Team Members, Corporate, Warehouse, Purchasing, Accounting and Vendors.

Essential Duties and Responsibilities:

  • Supervision
  • Supervises Receivers by assigning and prioritizing workload and ensuring tasks are completed accurately and in a timely manner. Maintains constant communication with Receivers, informing them of any needed information and/or procedure updates.
  • Personnel
  • Works with Store Manager to prepare Receiver work schedules and adjust as needed to meet the needs of the store. Reviews upcoming receiving volume and ensures that the receiving department is scheduled adequately to handle workload. Communicates strengths and weaknesses and addresses performance issues, including, but not limited to attendance, customer service issues, and policy violations. Assists in completing performance evaluations. Counsels and participates in corrective action including oral and written warnings. Answers Team Member questions regarding department and Company Policy or directs them to someone who can.
  • Communication
  • Communicates on a regular basis with Management concerning the overall productivity of the department and identifies concerns and issues for discussion and resolution. Communicates with Receivers and Sales Leads regarding inventory and/or receiving issues that are pertinent to their jobs. Acts as primary contact person for Store and Corporate Staff regarding receiving and/or inventory issues. Communicates with vendors, corporate, and other stores via phone, email, fax, or in person as required. Notifies customers when special order product has arrived and is ready for pickup. Provides courteous, efficient and attentive customer service when working with both inside and outside contacts.
  • Receiving Administration
  • Handles all administrative tasks that pertain to the receipt and/or shipment of goods, including, but not limited to all goods entering or leaving the store through receiving. Reviews purchase orders and transfers that have been checked-in by receivers, identifies and accounts for discrepancies on incoming and/or outgoing shipments, finalizes purchase orders and transfers, logs discrepancies and/or issues, prioritize receipts, and other applicable administrative tasks as needed.
  • Defectives Processing
  • Accurately processes defective merchandise according to established procedures, including, but not limited to logging the defectives, making determinations about proper disposal, and initiating credit requests.
  • Shrinkage & Counts
  • Processes theft, damage, and other applicable types of shrinkage that occur within the store. Researches and adjusts negative on hand quantities on a daily basis. Reviews completed and pending counts, and makes corrections and/or escalates issues as necessary. Completes tasks accurately and in a timely manner.
  • Physical Inventory
  • Acts as the primary contact. Assists and monitors yearly full inventory count. Organizes and monitors Sales Team Members when they conduct inventory of back rooms, stock rooms, lumber, overstock and by the foot merchandise.
  • Training
  • Trains and mentors all new-hire, existing, and back-up receivers within the store, including, but not limited to training on all applicable receiving procedures and policies, RF Gun usage, and computer system usage. Trains other store staff on proper use of RF Guns and applicable counting procedures.
  • Loss Prevention
  • Reduces the potential for fraud and injury by maintaining a clean, organized and controlled work environment, following policies and procedures consistently, and promptly reporting issues to management.

Other Duties:

  • Troubleshoots minor computer/software problems.

  • Ensures receiving area and office space is maintained in a neat and organized fashion.

  • Uses forklift as needed.

  • Perform other duties as needed.

Qualifications:

  • Three (3) years receiving or inventory experience, with at least one year at McLendon Hardware preferred.

  • High school diploma or equivalent required.

  • Must be dependable, detail oriented, process oriented, and driven for success.

  • Must be able to stand, walk, bend and lift merchandise up to 35lbs.

  • Must have moderate computer knowledge including general typing and ten key skills. This includes competency with Activant Eagle, and Microsoft Office-like products.

  • Must have the ability to read and write English and have proficient math skills.

  • Due to the nature and responsibilities of this position, dependable regular attendance is required.
