POSITION SUMMARY

The Full Charge Bookkeeper is responsible for full-cycle accounting and will assist the Executive Team. This includes, but is not limited to, Accounts Payable, Accounts Receivable, Cash Receipts, Payroll, General Ledger Reconciliation, Tax Preparation and Reporting, and all Monthly and Year End Financial Reporting Requirements. This person will be responsible for maintaining accurate and complete financial records, preparing financial statements, and managing balance sheets. The Full Charge Bookkeeper will interact with clients, vendors, and staff; process invoices and payments; and support annual CPA Prepared Financial Statement preparation. The person will report directly to the Chief Operating Officer.

KEY ACCOUNTABILITIES & EXPECTED OUTCOMES

  • Maintain and take accountability for the accounting and finance functions of the business.

  • Remain in compliance with all tax and regulatory laws and reporting.

  • Follow and comply with the Modified Cash Basis of Accounting.

DUTIES (Including, but not limited to):

PRODUCTION

  • Ensure that the Reports Checklist is kept current and distributed on the first day of each month for the expected delivery dates of the upcoming month's reports.

  • Ensure real time financial reports are completed, reviewed for accuracy and distributed on the expected completion dates daily, weekly, monthly, quarterly, and annually.

  • Produce all Financial Statements and Cash Flows monthly.

  • Reconcile Ledger on a weekly and monthly basis to assist in meeting the monthly Quick close deadline.

  • Assist the data analytics team in automating the company's KPI's and dashboards.

  • Project manage the budget process with a rolling eighteen-month budget ensuring that the Annual Budget for the upcoming year is finalized by December 1st.

  • Work with the company's CPAs, banks, legal counsel, insurance brokers, etc. providing them with information necessary to serve the company.

ADMINISTRATIVE

  • Maintain and be proficient in a system of time & project management.

  • Responsible for monthly and yearly reconciliation of accounts.

  • Code and enter invoices.

  • Process all vendor payment requests, mail checks, charge on credit card or ACH payments.

  • Reconcile bank deposits.

  • Manage monthly bank and credit card reconciliations.

  • File monthly Sales and Use Tax.

  • Prepare business property tax filings.

LEADERSHIP

  • Point person for all financial and accounting information.

ENTREPRENEURIAL

  • Proactively discover ways to save time and money.

  • Innovate and identify opportunities for improvement and increased efficiencies in the company's financial management and reporting.

  • Recognize inconsistencies/errors from each club or department and communicate the issue/s professionally with the appropriate supervisor.

  • Confidently present the Monthly Financial Reports to the Executive Team.

SKILLS / EXPERIENCE

  • Bachelor's or Associate's Degree in Accounting, Finance, or related field, preferred.

  • Certified Bookkeeper designation, preferred.

  • 5+ years of full charge bookkeeping experience, required.

  • Payroll experience required.

  • In-depth understanding of the Modified Cash Basis of Accounting.

  • Proficient in Sage ACCPAC, Sage Asset management, Payroll Provider Software Systems, Club Management Software, SSRS Reports and Payables Portal Entry Systems, Power Point, Excel, Word and Outlook.

  • Must be detail-oriented, organized, analytical, problem-solver and have excellent follow-up skills.

  • Ability to problem-solve and troubleshoot.

  • Team oriented, but can work independently as well.

  • Positive attitude with great energy.

  • Outstanding communication skills both written and verbal.

  • Must be able to multi-task in a fast-paced environment.

  • Ability to maintain the highest level of confidentiality.

  • Fiscally responsible.

  • Advanced Microsoft Excel skills.

  • Proficiency in Microsoft programs (Word, PowerPoint, Outlook, Office 365, Microsoft Teams).

  • Willingness to learn.

PHYSICAL ENVIRONMENT & REQUIREMENTS

  • Primarily indoor environment with normal exposure to light, sound, heat, and cold.

  • Must be able to frequently walk, stand, bend, stoop, kneel, crouch, grasp, and reach.

  • Must be able frequently move, lift, push, pull, and/or carry at least 30 lbs.

  • Must have the ability to communicate information and ideas so others will understand and must be able to exchange accurate information.

Qualifications

SKILLS / EXPERIENCE

  • Associate degree in accounting or related field, preferred

  • Certified Bookkeeper designation, preferred

  • 5+ years of full charge bookkeeping experience, required

  • HR and Payroll experience, required

  • Knowledge of payroll policies (local, state, and federal), required

  • CPP (Certified Payroll Professional) a plus

  • In-depth understanding of the Modified Cash Basis of Accounting

  • Knowledge of SAGE ACCPAC a plus

  • Must be detail-oriented, organized, analytical, problem-solver and have excellent follow-up skills.

  • Curious by nature (troubleshoot)
