Altfest Personal Wealth Management is seeking a highly capable, hardworking Client Administration Associate to set up and maintain client accounts, compile and complete client, custodian and firm paperwork; and review and maintain client transactions and activity.
The CAA also handles the execution of client-related and firm tasks such as asset transfers, preparation of reports, and general support of portfolio and investment strategies.
This position has great potential to be on an accelerated career track in operations and has significant upward potential. Our formal training program insures the growth of our CAAs and supports their continuing progress at the firm.

Duties and Responsibilities

Work closely with clients and custodians to execute operational requests for new accounts, asset transfers, and other account related tasks

Manage the firms portfolio accounting system, CRM, electronic document management systems, and maintain various aspects of the firms trading software

Lead the day-to-day operations for our investment teams

Communicate regularly with clients, both verbally and in writing

Deliver superior client service which includes troubleshooting problems

Serve as a liaison between Advisors and clients as needed

Participate in the management of the firms technology program

Function as the lead coordinator between broker dealer service teams and the firm

Manage the firms billing and quarterly report operations

Maintain statistical data for firm reporting and provide analysis to Management

Handle various compliance-related tasks in coordination with the CCO

Manage the firms internship program

Assist in onboarding new employees in various capacities

Serve as an escalation specialist for complex operational matters

Handle investment performance related questions and all performance reporting

Handle special projects as needed
Qualifications
Applicants should have all of the following:

Minimum of 2 years experience in the financial services industry

Bachelors degree from an accredited university with a high GPA

Strong standardized test scores

Proficiency in Word, Excel and Outlook

Strong analytical skills

Organized, detail-oriented and able to multitask

Maintain a Client-first attitude

Superior written, verbal and presentation skills

Team player, collaborative, able to work with and through others

Desire and ability to work successfully in a small company environment

Knowledge of PortfolioCenter, iRebal, Worldox, and Junxure a strong plus

Essential Functions CHARACTERISTIC DUTIES AND RESPONSIBILITIES: Finance and Budget: Manages the financial and budget activities for Academic Affairs (Center for the Core Curriculum, Undergraduate Research/Fellowships and Dean of Academic Affairs) which includes but is not limited to: * Masters the business and operations of the designated unit and serves as the main point of contact for the College Finance team. Manages workflow operations of the unit's financial processes. Advises faculty, students and staff on appropriate payment mechanisms for unit activity and providing guidance on the necessary steps to transact business. Works with College Finance to clarify financial processes as needed. Recommends and implements changes to improve the financial workflow within Academic Affairs. * Initiates and manages status of invoices, requisitions, journal vouchers, travel and business expense reports, and other financial accounting transactions for the unit. Requests the disbursement of student stipends for students. Researches and resolves problems for vendor, student, and employee payments. * Reconciles monthly financial statements and analyzes budget variance reports; together with the Dean of Academic Affairs meets on a regular basis with unit budget managers to review year-to-date activity and identifies trends to inform the budget plans for future periods. Prepares reports regarding unit financial activity as needed. Responds to reporting needs and questions from College Finance. * Works closely with the Dean of Academic Affairs and College Finance to construct the unit's annual budget submission. Academic Administration * Manages the instructional recruitment, hiring and appointment needs for the Center for the Core Curriculum ("Core"). Collaborates with appropriate A&S departments to appoint faculty, post-doc, and graduate student program chairs and instructors. Establishes processes and builds tip guides for staff involved in the appointment process. * Oversees Core program chair and other Core instructional appointments. Manages the process for the nomination and appointment of program chairs including the Trustee and departmental approvals. Responsible for providing College Development with periodic updates for stewardship reporting. * Tracks faculty eligibility and usage of financial incentives ensuring that program and financial requirements are met. Analyze usage of financial incentives to inform whether program goals are being met. Provide faculty with status updates about their incentive allocations. Responsible for working with relevant College and A&S departments to disburse faculty payments on time and in efficient manner. * Manages the tracking of awards, prizes and fellowships. Understand the terms of use and ensure the appropriate use of named funds. * Oversees housing, events and travel needs for unit programming for faculty and undergraduate students. * Delivers organizational support for grant and gift reporting. * Responsible for project management for annual projects and activities across Academic Affairs. Engages with the Dean of Academic Affairs and other unit managers to plan new strategic initiatives and manage their implementation. * Collaborates with the College Dean's Office to oversee logistics for smooth operation of the unit, including office space needs, and the maintenance and repair of unit equipment as needed.
