A Heartland Dental supported office is looking for responsible, determined Dental Office Assistant

  • Business Assistant to join our dental office. The Dental Business Office Assistant will handle various administrative tasks in our front office area. The Dental Business Office Assistant role plays an important part in communicating effectively with patients and maintaining an organized administrative schedule. The Dental Business Office Assistant will maintain and organize all administrative functions in the front office, including reception tasks receiving and distributing office mail and email, answering the office phone and distributing calls or messages accordingly, communicating patients' arrival promptly, managing administrative records and pulling/filing office charts among other duties. The Dental Business Office Assistant will also work with administrative scheduling, including maintaining office records, documenting patient dental treatments and transactions, following office procedures for patient referrals and scheduling of office appointments. Other duties include maintaining office accounts receivable information, making financial arrangements with patients before treatments and ordering office and administrative supplies.

Requirements:

  • Outstanding written and verbal communication skills

  • A friendly, positive demeanor with patients and supported dental office team members

  • Great administrative organizational skills

  • Strong computer skills and the ability to learn new programs

  • Must demonstrate a thorough knowledge of dentistry and dental procedures

  • Exceptional customer service skills

  • Ability to travel for training, occasionally out of state

  • Dental experience a plus

Education:

Associates degree preferred, but not required

This position is also responsible for a variety of clerical and administrative support functions and customer service for an assigned patient care area which promote an organized, efficient delivery of care to patients. Essential Functions Performs a variety of tasks and functions associated with the departments daily operations, including but not limited to, greeting patients, medical staff and the public, answering incoming telephone calls, scheduling appointments, entering orders and providing general information to customers. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution. Refers complex inquiries to the appropriate department or staff. Provides ongoing clerical and administrative support. Enters patient information into the computer, scans documents into PACS. Maintains a complete patient record with admission, transfer, and discharge information, progress notes, and consent forms. Ensures that all reports and chart forms are scanned or filed into the patients record. Ensures that charting forms are labeled and accessible if they are needed. Maintains adequate supplies of frequently used, patient education materials. May be responsible for QC/validations. Assists in facilitating requests for patient medical records. Provides support in the acquisition and distribution of digital patient records. Digitizes, formats, and uploads film-based or digital images into PACS. Maintains accurate filling system as required based on established department protocols and procedures. Maintains adequate levels of office, dietary, and medical supplies and completes requisition forms when supplies need to be ordered. Reconciles supply order upon delivery. Minimum Qualifications High school diploma/GED or equivalent working knowledge. BLS certification is required. Must be able to exercise good judgment, effectively communicate, and use discretion with patients, staff and the general public. Working knowledge of medical terminology and computer literacy is required. The position requires knowledge of commonly used office software and keyboarding skills.
