Support HL mission and goal achievement, organizational quality and patient-centered care. Support the Site Manager to assure a smooth operation of health centers based services and achievement of productivity goals. Provide leadership in establishing and maintaining a professional and respectful environment supporting teamwork while promoting dignity, privacy and confidentiality of patients, families, employees and volunteers. Under general supervision and in accordance with established HealthLinc policies and procedures, this position will work within the Patient Centered Medical Home model to coordinate the care needs of the individual patient focusing on the continuity of care.

ESSENTIAL JOB RESPONSIBILITIES:

  • Remain knowledgeable of support staffs roles and responsibilities, as well as all areas of practice in order to provide continuity of services during position vacancies.

  • In conjunction with the Site Manager, update training manuals; orient, direct and monitor front office responsibilities that support goals and objectives of the clinic site, including the use of office and patient forms to assure consistency.

  • Provide leadership, guidance, conflict resolution, motivation, and promote team work of subordinates in achieving agency goals and productivity thresholds.

  • In coordination with the Site Manager, participates in ongoing recruitment by conducting interviews and making recommendations to the Site Manager of potential candidates.

  • Assure employees have adequate equipment, materials and supplies to complete their assigned tasks in an efficient, safe, and cost effective manner as approved by the Site Manager.

  • Maintain employees and express personnels work schedules, review, make corrections and assure time schedules are approved for payroll within the required time allotted. Monitor the attendance and tardy point system.

  • Assure all staff maintain a professional appearance and demonstrate high quality customer care.

  • In the absence of the Site Manager, assure the clinic site is maintained in a clean/sanitary, safe and orderly manner responding promptly to crisis situations.

  • Familiarity with and adheres to employee manuals and the sites policies and procedures.

  • Facilitate and coordinate student interns schedule.

  • Responsible to adhere to and maintain quality metrics as assigned by Site Manager.

  • In conjunction with the Site Manager, monitor compliance with OSHA, PCMH, and HIPAA including reporting any identified violations to the Site Manager.

  • Responsible for creating and maintaining templates in the system.

  • Other job responsibilities within scope of job including support of HealthLinc events.

QUALIFICATIONS:

Education/Training

Associates Degree required

Experience

Two to three years of supervisory experience in an outpatient setting preferred

Skills/Abilities/Job Requirement

  • Strong organizational and time management skills as well as ability to prioritize and execute tasks under pressure

  • Proven computer and software skills

  • General understanding of clinical service lines

  • Knowledge of medical supplies, equipment, and/or services ordering and inventory control

  • Ability to handle multiple tasks

  • Ability to relate to a diverse group of people

  • Ability to lead, supervise and train staff

  • Ability to gather data, compile information and prepare reports

  • Demonstrates interpersonal skills and a professional demeanor necessary to deal tactfully and effectively with all staff members and a variety of people outside the clinic in order to develop and maintain productive relationships with key community organizations, referral sources, and local providers of care.

  • Demonstrates ability to communicate effectively both verbally and in writing.
