Aspen Heights Partners is looking for a motivated, organized and ambitious candidate to fill our Front Office Manager role. This person is the first face our visitors will see when they visit Aspen, and the last person to wish them well on their way out. Creating a welcoming, organized and warm environment for not only our visitors, but our entire team, is an important part of this role. In addition, working to enhance our culture by running a well organized and highly functioning office will be paramount to success in this role.

This job will also entail some executive assistant work - namely scheduling travel and meetings, and submitting expenses. This role would be a great opportunity for someone hoping to grow into an Executive Assistant role down the line!

Responsibilities:

  • Meet and greet all visitors and candidates at our Westlake based office

  • Answer and take messages on our main office line

  • Open our office at 8 AM and close up shop at 5 PM Monday through Friday

  • Sort and deliver mail daily, as well as facilitate FedEx/ UPS shipping

  • Order, stock and keep inventory of all kitchen supplies, including weekly groceries

  • Order and keep inventory of office supplies while maintaining order and function to our supply closet

  • Coordinate meeting spaces and equipment

  • Manage relationships with our various vendors (CPI, AT&T, Verizon, Anderson Vending, FedEx, Pitney Bowes, ETC)

  • Submit office maintenance requests to the building maintenance team

  • Provide some administrative support to our small (but growing) Development team, including expense reporting and travel booking

  • Approve and submit office inventory expenses

  • Assist in finance quarterly mailings

  • Assist in other department projects as needed

Requirements:

  • 1-2 years of experience in an administrative capacity

  • Associate or bachelor's degree required

  • High level of attention to detail

  • Outgoing and professional demeanor

  • Motivation to improve logistic processes around the office, enhancing the work experience of all team members
