This person will serve as the first representative of and is depended upon to be courteous, professional and skilled. Our ideal candidate is a motivated self-starter, extremely organized, has a strong sense of urgency and can prioritize daily, weekly, monthly duties while maintaining a strong attention to detail. Someone who can maintain effective office operations, identify areas of improvement, and anticipate the needs of the office with an upbeat and approachable attitude.

Primary Job Responsibilities

  • Answer incoming phone calls and route them to the appropriate parties at

  • Welcome and log-in guests and vendors; answer questions and direct them to waiting area or conference rooms

  • Maintain a clean reception area and office space at all times

  • Management of all office related items including supplies, vendors, caterers, and cleaning personnel

  • Oversee office conference rooms; reservation system, audio/video equipment. Make sure rooms are clean and organized with supplies and refreshments as needed

  • Plan, facilitate and execute all office events weekly happy hours, special lunches, occasional parties and recruiting events

  • Back up Executive Administrative support Executive travel, meeting schedules, expense reporting, ad hoc projects, etc.

Preferred Qualifications

  • Bachelor's degree required with 2-5 years of experience

  • Must have Office Management/Facilities experience

  • Solid written and verbal communication skills and phone etiquette with a client focus

  • Excellent organizational skills, with an attention to detail

  • Proficiency with Microsoft Office including Word, Excel and Outlook

  • Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams

  • Ability to prioritize, problem solve, manage time effectively and work with minimal supervision

  • Positive and enthusiastic attitude with the ability to adapt to changing project demands

  • Mature, polished and professional presence and disposition, punctual, dependable and reliable

This position is the first person that our Club members and their families interact with at the Club, so it's critical that a positive and warm welcome greets them upon arrival. This candidate must possess a cooperative, friendly and easy-going personality. What will you do? * Greet all new members and family members with a warm welcome * Ensure that all volunteers and families follow our safety protocol (name tags) * Manage the member sign-in process; ensure all member attendance is captured * Run weekly attendance reports and email to appropriate Club leadership * Answer all phone calls and respond to families that seek information * Communicate and disperse information about upcoming events and activities to members and the public * Manage the Healthy Harvest food bank program on Fridays * Support programming in the Games Room, as requested * Maintain all bulletin boards and neatness of our flier distributions * Assist with parent/member orientations * Follow emergency protocol in accordance with BGCP policy and procedures * Other administrative tasks as assigned Qualifications the ideal candidate will have: * Spanish fluency is required * 1+ years prior experience working with youth * Must be cooperative, friendly and able to create a harmonious environment * Enjoy working with children and young adults * Basic computer skills; will be trained in Club data tracking system * High school diploma, 1+ year community college * LiveScan clearance and negative TB test results (prior to start) Organization Overview At the Boys & Girls Clubs of the Peninsula (BGCP), our business is changing lives.
