As the Front Desk Receptionist, you will play a vital role in living this mission every day, as you welcome visitors to C Space, help keep the office running smoothly, and create a positive working environment and experience for employees and guests alike.

In this role, you are an Ambassador of First Impressions. You are thoughtful and excited about being creative and proactive, always looking for ways to enhance the experience of working in or visiting our office. You are confident, detail-oriented, and have a knack for providing excellent customer service. You are able to operate with independence, demonstrate strong follow-through, and are a team player. You can learn processes and can also handle ambiguity with finesse in a fast-paced environment and get creative with solutions.

What You'll Do

  • Create an exceptional experience for all C Space visitors and employees

  • Greet and host clients and visitors in our office, which includes; booking and organizing staff and client meetings, handling catering logistics, and the set up and breakdown of catering stations

  • Manage the procurement of office supplies, food/snacks, furniture ordering, PO submissions, and expense reports

  • Build relationships with various existing vendors and identify new vendors (as well as vendor set up through Finance) when needed

  • Support senior staff with travel planning and expense reporting

  • Responsible for managing incoming/outgoing mail and packages

  • Liaise with JLL, the office management company on a number of tasks and shared services

  • Manage Boston Office calendar of visitors and staff whereabouts

  • Act as operator for calls into main number

  • Adhoc Office Administration tasks

Required Skills and Experience

  • Experience working in a professional environment completing administrative duties

  • Must have a warm welcoming personality with a genuine willingness to serve others with a "can do" attitude in other words, you enjoy and take pride in helping people and being reliable

  • Ability to interact in a positive, professional and effective manner with CEOs, clients, vendors, couriers and teammates from all walks of life

  • Strong computer literacy in Microsoft Office, Word, PowerPoint, Publisher, and Excel and the ability to learn several other systems in use at C Space already

  • You possess energy, enthusiasm, and a positive "customer-focused" attitude

  • Must have strong communication and organizational skills with the ability to prioritize tasks with frequent interruptions

  • Experience working a multi-line office phone system

  • Must be a self-starter, ability to work independently, be flexible, adaptable, possess a sense of humor, and enjoy working in a fun, fast paced work environment

What you get to do: The Guest Service Agent is responsible for providing quality guest services that include registration and check-out, PBX operations, mail and message service. Your day-to-day: * Other duties may be assigned. * Review arrivals noting special requests, blocking rooms as needed. * Check in and out hotel guests in a confident, professional and friendly manner. * Answer all phone calls promptly and knowledgeably, always ensuring complete and accurate information. * Complete all items on appropriate (AM, PM, Overnight) checklist by end of shift. * Conduct pre-assignment of hotel rooms, which includes VIPS, repeat guests, all packages, and any special requests. * Follow established key control policy. * Ensure proper credit policies are followed. Submit all lost & found articles accompanied by a completed lost & found report. * Knowledgeable of immediate area, services, attractions, and events. * Knowledgeable of fire and emergency procedures. * Open, secure, and balance out daily shift bank which involves counting and verifying cash, check, and credit card transactions occurring while on duty. * Verify credit limit report. * Monitor room availability throughout the day. * Review daily the selling status of the hotel using yield management system. * Attend department meeting once a month. * Performs all other duties as directed by immediate supervisor. * Other Department related duties as become necessary. * Contact via telephone with the other departments such as Reservations, Sales, Housekeeping, Bell Staff, and Valet is crucial to ensure that hotel services are coordinated to provide the best in guest satisfaction. Specific experience we're seeking: * Previous experience in a Front Desk or customer facing role. * Works well under pressure, dealing with many arrivals and departures within a short period of time. * Able to accommodate a flexible schedule that may include weekends and/or holidays * Familiar with hotel systems and operations, and can enter in information accurately * Outside --of-the-box thinker who takes initiative to creatively solve problems. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
