Job Responsibilities

The Front Desk Associate greets and provides excellent customer service to all guests entering the facility, and provides support/services to the Association staff in the overall operation of the onsite office.

Essential Duties & Responsibilities

The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.

  • Greet all guests with a warm smile and inviting attitude.

  • Receive and respond to resident phone calls; redirect as appropriate.

  • Meet with inquiring homeowners in lobby as may be appropriate.

  • Facilitate amenity access including acceptance/transmittal of fees and distribution of access cards and other equipment to homeowners as required by community needs.

  • Update new/existing owners' information forms in the appropriate system daily or as required.

  • Sort incoming mail, faxes, and courier deliveries for distribution

  • Enter and process work orders for maintenance requests from homeowners as needed.

  • Assist in follow-up on the status of work orders to ensure timely resolution and closure upon notification by vendor or community manager.

  • Perform other Community Coordinator duties as assigned by Amenities Center Manager or Community Manager.

Additional Duties & Responsibilities

  • Practice and adhere to FirstService Residential Global Service Standards.

  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.

  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.

  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

  • Ensure all safety precautions are followed while performing the work.

  • Follow all policies and Standard Operating Procedures as instructed by Management.

  • Perform any range of special projects, tasks and other related duties as assigned.

Education & Experience

  • High School Diploma or Post-secondary education in business, computers, or office management is preferred.

Knowledge, Skills & Proficiencies

  • Ability to work within a team environment and independently;

  • Exceptional organizational and problem solving skills;

  • Excellent computer skills, including MS Outlook, Word, Excel, PowerPoint

The successful candidates maintain property operations by attracting and serving residents, while ensuring the financial goals are met. Job Duties include: * Process community A/P's in an automated accounting system i.e. Catalyst * Assist in the monthly collection and processing of rent and RV reservation payments; this includes collections, deposits and data entry * Assist with the processing of paperwork for residents upon move-in and move-out * Assist in making RV reservations; this includes making sure the RV's fit in the size of the site * Create and edit spreadsheets and correspondence as directed * Order office supplies as directed * Maintain community files, including but not limited to, resident files, financials, MEF's, operating reports, income statements, etc * Greet visitors and residents * Work closely with management in developing an integral team that effectively represents the quality and professionalism of ELS * Maintain open communications with all regional staff and community * Research and carry out the implementation of ELS sponsored activities * Handle customer inquiries via telephone and tours of property as needed * Make photocopies and send facsimiles as needed * Attend and participate in training programs and seminars as requested * Run errands such as delivering various communications to guests or residents as needed * Perform other duties as assigned Requirements include: * High School diploma or equivalent * One year of office experience * Excellent written, verbal communication, and organizational skills and the ability to pay attention to details * Must be able to type 30-40 wpm * Computer proficiency required, Word and Excel preferred * Experience with automated accounting systems and reservation systems a plus * Must be willing to work a flexible schedule, including weekends In return for your excellent skills and abilities, you may be eligible for a comprehensive benefits package including: medical, dental, and vision plans, a generous 401k employer match, and paid vacations, holidays, and sick time.
