Front Desk Coordinator

The Front Desk Coordinator will be the first point of contact for our guests and inquiries. Additionally, this position provides a broad range of administrative and operational support for Corporate Services and other project teams.

Essential Functions

  • Provide prompt and courteous service: both on the phone and in person.

  • Monitor all working area conditions and equipment to ensure they are within corporate standards for cleanliness, proper maintenance, and safety.

  • Provide general information regarding routine inquiries from customers, and refers non-routine, sensitive, and/or complex requests for information and other inquiries or complaints to the Office Manager or other designee.

  • Book and maintains conference rooms, and offices by reserving dates and times.

  • Coordinate all domestic and international shipping for all size packages.

  • Schedule and organize food orders and special deliveries for all departments.

  • Create POs, enter invoices and process accruals for corporate building.

  • Accept all letters and packages and distribute them to their appropriate departments in a timely manner.

Schedules and coordinates all outside vendors for maintenance of corporate building.

  • Answer all client questions and incoming calls. Monitor, organize and forward emails.

  • Track and order office equipment, supplies, records, and files.

  • Work at office location and serve as consistent initial contact for guests and callers.

Other Responsibilities

  • Education, Experience, and Skills Required

  • High school diploma or relevant qualification.

  • Advanced organizational and multitasking abilities.

  • A minimum of 2 years of proven experience in a similar role.

  • Customer Service oriented and multitasker.

  • Superb written and verbal communication skills.

  • Strong knowledge of MS Office programs. SAP experience a plus

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to, stand, sit, talk, hear, and use hands and fingers to operate a computer

  • The ability to work at a computer and computer monitor and use repetitive motion for long periods of time

  • Specific vision abilities required by this job include close vision requirements due to computer work

  • Light lifting is required

  • Ability to work with moderate noise (i.e. business office with computers, phone, and printers, moderate traffic)

  • Ability to sit at a computer terminal for an extended period
