  • Greet and direct all visitors

  • Screen calls

  • Administrative duties including scanning, filing, sorting mail, preparing paperwork

  • Calendar management

  • Light even planning

  • Special projects as directed by supervisor

    Requirements:
    -2+ years of administrative or front desk experience, finance or banking background a huge plus
  • Microsoft Office

  • Organizational skills

  • Great communication skills

Your mission is to wear multiple hats to ensure that every visitor and member of the team has a daily experience that is smooth, efficient, and rewarding. You will be responsible for overseeing the front desk from greeting visitors, act as a gatekeeper and act as the person of contact (POC) for the Facilities helpdesk by supporting 'back office' ordering needs and fielding Helpdesk tickets. Our ideal candidate is a customer-centric & motivated self-starter, with a strong sense of urgency and attention to detail. They are driven and find satisfaction in extreme organization. They are also able to balance several high-priority projects at a time, while maintaining a positive attitude and a smile on their face. Key Responsibilities: * Maintain front desk coordination by greeting guests, candidates and employees, visitors, and keeping the reception area tidy, safe, and welcoming. * Manage and own front desk tasks and projects with confidence. * Demonstrate strong judgment, plenty of patience, and a willingness to help handle anything that comes up or is asked. * Shows enthusiasm for ipsy, our product, and our team, and an eagerness to promote ipsy culture and values through friendly, positive interactions with our team and visitors. * Act as a gatekeeper with a strong understanding of the importance of security and safety in the workplace and the role our team plays in it. * POC for all Facilities Helpdesk tickets ensuring timely response and resolution to tickets or redirecting as needed by efficiently prioritizing and communicating clearly. * Support all Facilities team members and back office needs from ordering supplies, to coordinating event support such as booking sites, ordering food and scheduling maintenance support. * Help to enact procedures by maintaining our office run book documents. * Manage all vendor relationships flawlessly, negotiating pricing fiercely. * Manage acquisition of all office services and equipment, ensuring the proper function of all office equipment. * Assist with onboarding new hires to ensure their experience is positive. * Assist with scheduling meetings and management of exec schedules, as needed. * Work with building management team from acquiring access badges to ensuring maintenance needs are addressed. * Maintain a clean, organized, functional front office. * Be responsible for ordering, organizing, and inventorying snack foods, catered lunches, and beverages and stocking them in our kitchen. * Additional duties and projects as assigned. Qualifications: * Excellent verbal and written communication skills. * Proficiency with Microsoft Office applications and Google Suite. * Obsessive attention to detail and organization. * Proven ability to prioritize within a multitasking environment; highly organized. * Hands on, "can-do" attitude. * Ability to work autonomously with a team-first mentality. * MUST care about people and their professional happiness. * Personable and approachable.
