The Front Desk Coordinator will be responsible for the coordination of reception and supporting office management needs. This role requires strong communication skills and professionalism as the face of the office to incoming calls and visitors. The Front Desk Coordinator will support the Office Administrator with ordering, vendor management and event coordination. Ability to multi-task and prioritize effectively will be critical for success in this role.
Greeting guests as they enter Innosight's Lexington Office
Managing the switchboard, screening out irrelevant callers
Assisting in submitting expense reports into the company's financial system
Managing office post: Preparing and distributing mailings (day to day and large scale), manage incoming and outgoing shipments, manage postage machine
Coordinate catering arrangements for client meetings and other company events, manage weekly lunch order and lunch budget
Assembling binders, presentation materials, high volume copy for consulting workshops/meetings as needed
Assist with vendor management including post, floral, laundry, catering and office supplies
Submitting work orders for office building maintenance issues
Maintain company databases and contact information
2+ years of related experience, experience working within professional services environments preferred.
Excellent communications, both verbal and written.
Proficiency in Word, Excel, and PowerPoint
Must be efficient and effective in managing multiple priorities with ability to stay focused and to think on his/her feet in a deadline driven environment.
