The Front Desk Coordinator III (Access Coordinator III) is responsible for greeting patients and visitors and assisting them as needed. S/He directs patients on check-in procedures, maintains a timely patient work flow, and verifies patient information (i.e. all demographic information).

Responsibilities

REGISTRATION AND CHECK-OUT PROCEDURES:

  • Greets and assists patients and visitors.

  • Informs patients of check-in procedures and maintains timely patient flow.

  • Verifies patient information (i.e. all demographic information).

  • Checks the Practice Management system to make sure appropriate forms have been updated, signed and scanned into the system.

  • Checks the EMR for a current photo and takes a photo if no picture is on file or if picture is outdated.

  • Obtains current copies of insurance cards; updates insurance information in the patient record; scans them into the PM system and gives a copy of the card to the Insurance Coordinator to verify benefits and coverage.

  • Checks Practice Management system to make sure the patient has no outstanding bills and does not need to talk to the financial counselor or any other department before checking in for their appointment.

  • Collects patient co-pays, deposits and outstanding balances as required.

  • Checks in the EMR to make sure that patients arriving for laboratory work have their orders entered.

  • Checks out patients subsequent to release from exam room-marks and schedules follow up appointments

  • Notifies patients of charges and practices policy regarding possible dismissal

PRE-VISIT PREPARATION

  • Verifies all insurance and Medicaid eligibility for every patient appointment and enters the information to validate that coverage is active on that date of service.

  • Prints schedule report to retain for the next day in case of computer problems.

PATIENT PORTAL NAVIGATOR

  • Works with patients on setting up portal access

MISCELLANEOUS DUTIES

  • Compiles the contents of New Patient packets to mail to patients.

  • May perform other duties as assigned.

Qualifications

Minimum Qualifications:

  • HS diploma/GED

  • Three (3) years customer service or healthcare experience preferably in a high volume medical/clinic setting.

  • Intermediate proficiency with computer programs (preferably Microsoft Office)

  • Comfortable working with individuals from various cultural backgrounds
