Summary: Greets visitors and maintains visitor log. Answers and correctly routes calls. Responds to internal and external inquiries and distributes accurate information. Performs some administrative activities such as booking meeting rooms, receiving and sending mail and packages. Administers security procedures such as issuing badges or visitor passes. Receives all GSD tasks and assigns the tasks to the appropriate GSD associate.

Essential Duties and Responsibilities

  • Greets and direct customers and visitors entering the Burr Ridge facility.

  • Maintains office security by following safety procedures and controlling access via the receptionist desk (monitor logbook, issue visitor badges, etc.).

  • Answers and transfer incoming calls.

  • Sorts all incoming and outgoing US and interoffice mail.

  • Organizes and replenish office supply room as needed.

  • Keeps all copiers stocked with copy paper and deliver additional paper whenever requested

  • Checks stock and replenish break room supplies every morning

  • Manages meeting room reservations.

  • Accepts deliveries to building, process outgoing UPS when necessary.

  • Accepts appropriate GSD tasks and place necessary service calls.

  • Takes photos of new Burr Ridge associates

  • Adds / deletes users to the card access system as needed

  • Sorts and prepares all outgoing mail for nightly presort service.

  • Performs misc. administrative duties for the General Services Division as necessary.

  • Places follow up calls to customers regarding insurance.

  • Places follow up calls to customers regarding hold back repair work.

  • Occasionally required to lift up to 65 pounds.

Experience and Skills

  • High School diploma (required); Associate's Degree (AA) or equivalent from two-year college or technical school (preferred); or one to two years' related experience and/or training; or equivalent combination of education and experience.

  • Basic computer skills required (Word processing, Spreadsheets, Internet browser, E-mail, Order processing, Database software).
