Key Responsibilities:
- Greet and check-in patients upon arrival with a warm, welcoming demeanor.
- Answer phone calls, respond to inquiries, and schedule patient appointments efficiently.
- Verify and update patient information in the system, including insurance details and personal information.
- Manage and maintain patient appointment schedules, ensuring proper flow of patients and minimal wait times.
- Collect and process patient payments, including co-pays and outstanding balances.
- Ensure the waiting area is clean, organized, and stocked with necessary materials.
- Assist in managing patient records and ensure compliance with confidentiality and HIPAA regulations.
- Coordinate with the dental team to prepare for patient appointments and maintain accurate files.
- Handle administrative tasks, including filing, faxing, and scanning documents as required.
- Assist with insurance verification and pre-authorizations.
- Provide excellent customer service by addressing patient concerns and questions in a timely manner.
Required Skills/Abilities
- Strong communication and interpersonal skills, with the ability to interact positively with patients, staff, and visitors.
- Basic computer skills and proficiency with office software and dental management systems (training provided if needed).
- Excellent organizational skills with attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Knowledge of dental terminology, insurance processing, and HIPAA regulations is a plus.
- Bilingual (Spanish/English) is a plus, but not required.
Education and Experience:
- High school diploma or equivalent (Associate's degree or some college coursework is a plus).
- Previous experience in a dental or healthcare office preferred, but not required
Physical Requirements:
- While performing the duties of this job, the employee is regularly required to use hands and is required to talk and hear. The employee is frequently required to stand, sit, and walk occasionally for long periods at a time. The employee may occasionally be required to reach with hands and arms and move objects up to 20 pounds. Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus. In addition, abilities for assessing the accuracy, neatness and thoroughness of the work assigned is required.
