Job Title: Front Desk Associate- Prairie Lakes

Grade: III, starting wage $10.00/hour

FLSA: Non-Exempt, hours not to exceed 950/year

Department: Recreation

SUPERVISORY RELATIONSHIPS

Reports to: Facility Manger or Prairie Lakes Manager

Supervises: N/A

BASIC FUNCTION

Front Desk Associate is responsible for providing exceptional customer service, greeting and checking in members, handling cash transactions and registration for services, programs and facility memberships and having a solid knowledge of Des Plaines Park District operations.

ESSENTIAL DUTIES

  • Greeting the public. Demonstrate and promote positive guest relations and exceptional customer service. Provide information on Park District activities and facilities.

  • Responsible for cash control of front desk cash drawer and incoming cash registrations.

  • Answering all incoming phone calls and in person inquiries, addressing caller inquiries or routing to the proper person, if necessary.

  • Respond to emergencies in the facility which may include incidents of a serious nature.

  • Register applicants for Fitness Center memberships, Resident I.D. Cards, Pool Passes and programs.

  • Sell PLCC fitness center memberships, programs and rentals. Give tours as needed.

  • Assume responsibilities of Prairie Lakes Manager when other managers are not present.

  • Perform photocopying or other project needs for the Park District staff.

  • Receive and distribute incoming mail.

  • Take reservations for babysitting and racquetball courts.

  • Print out class rosters for instructors.

  • Develop and maintain working knowledge of telephone system, copy machine, building intercom, pass card printer, any other office equipment, POS system and RecTrac software.

  • Check with supervisor daily, when conflicts or time does not allow completion of work for prioritization of work to be accomplished.

  • Act as Person In Charge of PLCC in the event of an emergency if Manager or Supervisor are not present, according to Crisis Manual.

  • Make decisions and problem solve issues that arise during shift.

  • Be aware of all activities scheduled in the facility during shift.

OTHER DUTIES

  • Communicate openly with Facility Manager and other staff to ensure the smooth operations of the facility.

  • Maintain a proper inventory of clean towels. Wash and dry towels as needed (approx. 1 load/hour).

  • Keep work area and lobby clean.

  • Complete tracking reports as requested by Facility Manager.

  • Direct patrons in the event of an emergency, such as fire, severe weather

  • Adhere to all safety policies and procedures as outlined in the Employee Manual and Crisis Manual

  • Perform additional duties as assigned.

POSITION QUALIFICATIONS

Education: High School diploma, or equivalent

Experience: Must be 18 years or older.

Office experience, cash handling and ability to handle public contact preferred.

Certifications: CPR and First Aid Certified within 3 months, Classes available through Park District upon hire

They will be the daily point of contact for members, determining their needs and offering solutions to meet these needs. They will be responsible for providing a high level of customer service to Y members, program participants and guest. Scope and Responsibilities: * Greet and welcome members. * Actively interact and engage with members and prospects to determine needs; directing to the appropriate lead (i.e. Membership Experience Director, Membership Experience Supervisor, Program Director, etc) when necessary. * Handle member requests and questions; problem solving. * Gather and record member data in member profiles. * Facilitate member to member engagement. * Provides information and assistance related to membership rates, programs, services, scholarships and other Y amenities. * Prepares member records and issues membership ID cards and handles all. registration/enrollment transactions. * Assist Member Experience Supervisor with membership business and administrative tasks. * Assist supervisor in sales acquisition activities as assigned. * Support the YMCA's mission and center operations as needed. * Report any items that may provide a health or safety hazard to staff, members or guests to the maintenance staff. * Greet all guests as they enter the facility and adhere to sign-in/out, guest, visitor, monitoring youth in the facility and other relevant policies and procedures. Report any suspicious behavior and violations of policy and procedures to your supervisor. * Support the YMCA's commitment to child abuse prevention by: * Reporting any items that may provide a health or safety hazard to staff, members or guests to the maintenance staff. * Greeting all guests as they enter the facility and adhere to sign-in/out, guest, visitor, monitoring youth in the facility and other relevant policies and procedures. Report any suspicious behavior and violations of policy and procedures to your supervisor. * Completing all child abuse prevention training as required. * Supporting the YMCA's mission and center operations as needed. * Must be able to work a variety of hours including holidays and at least one weekend and one evening per month.
