The Position
The Front Desk Administrative Assistant is the first point of contact for office guests and parties contacting Harris Associates by phone, email, or in-person. As such, professionalism, courteousness, and service-orientation are pivotal traits.
In addition to being a self-starter, problem solver, and skilled at prioritization, the Front Desk HR Assistant must have outstanding interpersonal skills to interact with a variety of individuals. One should also have an eye for detail and the ability to effectively multi-task in an environment with distractions.
The Front Desk Assistant will be responsible for providing exceptional reception support as well as provide occasional administrative assistance to other departments as well as the People Department.
Responsibilities
Enthusiastically welcome visitors; anticipate their needs, answer questions, assist with arrival, office orientation, and departure.
Answer, screen and route all incoming calls to appropriate parties.
Maintain security protocol by logging all guests and issuing visitor passes; stay alert to potential security risks and contact appropriate parties in case of an emergency.
Assist the Office Services team by liaising building operations for any maintenance items (submits order tickets, track progress and ensure completion in a timely manner).
Responsible for conference room scheduling in MS Outlook and provide support for event coordination (booking rooms, catering, and room set-up).
Receive and route messengered and overnight delivery items.
Assist People team members with logistics for meetings, recruitment, training, and People-led initiatives.
Update and maintain intranet phone list, weekly lunch menu.
Coordinate Front Desk coverage when on breaks, vacation, or otherwise absent and train temporary replacement.
Perform special projects and additional administrative duties as assigned.
Qualifications
Required
High school diploma or equivalent
At least two years of direct experience in an administrative and/or front desk role
Proficiency in Microsoft Office including Outlook, Word, Excel and PowerPoint
Proven ability to consistently and positively contribute in a fast-paced, evolving work environment
Possess strong attention to detail and the ability to effectively prioritize multiple tasks in an environment with distractions
Ability to adhere to an expectation of complete confidentiality on all business matters
Excellent communication (verbal and written) as well as interpersonal skills; proven ability to take initiative and build strong, productive relationships
Must have the ability to interact with a variety of individuals (employees at all levels, clients, vendors, and candidates), along with the ability to work independently are required
Demonstrated ability to learn, intellectually curious and forward thinking
Availability to work in the office Monday
Friday, 8:00am
4:30pm
Preferred
Associates Degree or higher
Experience in professional services environment
Proficiency in MS products such as Word and Excel.
