Coordinating the movement of cargo per customers’ requests based upon export bookings and import documentation in a thorough, timely and accurate manner.
Entry and creation of work orders into software; printing and processing of work orders which includes all necessary information and instructions accurately input for use by dispatch, operations, crews and vendors for the correct and timely handling of cargo.
Coordinating the release of empty containers and import loads between steamship lines, dispatch, and operations.
This includes contacting the steamship lines for equipment release and location, first availability and delivery dates, vessel c/offs and appropriate terminal for return of the loaded containers
This can also include the coordination of inbound rail moves with customers, operations and the various rail operators, as well as assisting in resolving problems customers may incur with the various rail and steamship lines
Coordinating work orders with operations and ensuring that all paperwork is correct, printed and supplied to the Operations Manager prior to the cargo arrival. Advise the Operations Manager and Dispatch of any upcoming volumes so that labor and trucking can respond accordingly
Maintaining and updating customer databases promptly and accurately utilizing companies master database, Excel, Office 365 databases, Picasa, etc.
Coordinating inspections with government entities when necessary or when requested
Updating and maintaining current, accurate inventory records whenever applicable or requested
Timely communication with customers, vendors, and co-workers to schedule inbound carriers; communication with dispatch regarding upcoming volumes and equipment needs; Coordinate the work schedule with operations; completion of work orders; accurate final load reports sent to customers in a timely and prompt manner
Providing rate quotes to current and prospective customers
Accurate and complete billing of completed work orders, to include all applicable charges based on tariff or contractual rates
Follow up with delinquent accounts when requested to assist in resolving late payments, short pays, etc. and advising managers for further follow-up if issues are not resolved
Excellent Computer knowledge and warehousing background
Customer Service Oriented, Experience with invoices, quoting and calculating tariffs

The Fiber Coordinator at our Tacoma Mill, Tacoma, WA,, is responsible for working directly with the Regional Recycle Fiber Manager and the Recycle Fiber Buyer of the assigned paper mill(s) to ensure coordination of recycle fiber supply from recycle plants, open market purchased fiber and coordination with any National Account volumes purchased for the designated paper mill. This position will focus primarily on a designated paper mill to support the low cost and adequate supply to that mill, while supporting the Regional Recycle Fiber Manager to ensure alignment of recycle fiber supply in accordance with regional strategy and priorities. Working closely with the local Recycle Fiber Supply team the fiber coordinator enters information into appropriate order management systems, communicates directly with suppliers and to resolve questions and concerns, works directly with the assigned WestRock Logistics Planner to ensure lowest cost freight options are considered and maintains direct connection with the respective paper mill on status of receipt plans.
Drives paper mill operating efficiency through ensuring a reliable supply of quality recycled materials in coordination with Fiber Supply buying resources and logistics.
Acts as primary interface for supplier status questions and updates on delivery and payment questions, communicates across the WestRock organization as needed to ensure all affected parties are updated.
Partners with the paper mills to understand needs and concerns related to recycled fiber delivery and in-transit issues.
Ensures ease of doing business with WestRock as a key point of contact between the paper mill and external suppliers. Escalates issues to assigned Fiber Buyers.
Liaison between Account Representative, Supplier, and WestRock paper mill, communicating and facilitating resolution on all pertinent issues.
Liaison to assist suppliers and customers with resolution of payment & invoicing discrepancies.
Record and process shipment requests and/or inquiries received by email, telephone and/or through customer personal contact.
Provides release numbers, schedule information, and ETAs for shipments to Logistics for truck tendering.
Coordinates with Logistics related to any reported constraints to on-time pickup and delivery and communicates any changes in plans to the supplier to ensure transparency with that supplier.
Works with supply team to ensure proper mill inventories are maintained.
Provides disposition to suppliers and carriers on loads with quality or safety exceptions.
