Position Summary
The Foundation Relations Associate provides professional support to the Foundation Relations team to help meet fundraising objectives. Working with the Executive Director of Foundation Relations as well as other frontline foundation officers, the Foundation Relations Associate assists with the cultivation, solicitation, and stewardship of donors and prospects.
The Foundation Relations Associate works collaboratively across UIC Advancement and UI Health. They serve as a frontline representative of the university, interacting with volunteers, donors, and key leadership.
This position provides a learning and training experience, structured to grow the talent of the Foundation Relations Associate such that after two to three years, they are prepared to be competitive as candidates for assistant director of development positions within Foundation Relations.
Duties & Responsibilities
Facilitates, organizes, and executes fundraising activities to ensure foundation relations officers maintain an outward focus on building relationships, advancing giving strategies, closing gifts, and meeting annual fundraising goals. Assists with drafting, editing and proof-reading correspondence, reports, proposals, and briefings to be used in the cultivation, solicitation, and stewardship of foundation donors and prospects. Arranges meetings with faculty, staff, donors, prospects, and others as requested by the Executive Director and the Associate Vice Chancellor for Advancement (AVC). Gathers, researches, synthesizes, and analyzes data and information to prepare concise, logical summaries and reports across a variety of topics that may be presented to donors, foundation prospects, or internal teams. Helps monitor grant awards including grant agreements and reporting. Liaises closely with other units/departments and ensures timely and accurate collection of data and information for foundation grants, proposals, and reports. Supports preparation of collateral fundraising documents in alignment with UI Health's branding and communications policies and procedures. Collaborates with colleagues in the communications department as needed. Helps manage and track multi-year timelines, deadlines, and progress for proposal creation and submission. Works with fundraisers, faculty, and relevant program teams to monitor allocation and use of donor funds. Helps foundation officers prepare and submit proposals and applications to donors and prospective donors and shares proposals with other university fundraising offices. Assists foundation officers in preparing and submitting grant reports to ensure fulfillment of contractual, logistical, and reporting obligations to funders. Works with foundation officers and stewardship colleagues across the central corporate and foundation relations team to help coordinate comprehensive stewardship for College of Medicine and UI Health foundation donors. Participates in foundation portfolio reviews with fundraisers and in assessing new foundation prospects. Utilizes the constituent tracking database (TED) to look up and ensure accuracy of donor information, request research, pull canned reports, update prospect plans, etc. Assists with the gift process by tracking solicitations, gift agreements, completing gift transmittal forms for gifts received, forwarding gifts and completed forms for gift processing and ensuring revenue is associated with solicitation plans in TED. Participates in special projects and performs additional duties as assigned. Occasional night and weekend work as required. May require travel
Qualifications:
Minimum Qualifications
Bachelor's degree or equivalent.
One year of work experience - preference for experience in foundations development/fundraising environment.
Commitment to mission of UI Health.
Excellent communication, collaboration, and interpersonal skills: ability to interact effectively with a wide variety of professionals in writing, on the phone, and in person.
Strong writing skills; ability to translate complex information into laymen's terms.
Excellent project management and organizational skills.
Clear understanding and consistent practice in maintaining high standards of confidentiality and ethical information collection.
