Position Summary

The Events Manager supports the Executive Director, Donor Engagement in the philanthropic mission of the Memorial Medical Center Foundation (MMCF), and assists with and/or is responsible for managing all signature and other Foundation events that represent fundraising, stewardship, and/or cultivation opportunities for the Foundation. Responsibilities include full-range event production, donor engagement support, administrative support, event marketing coordination, and donor records/volunteer management.

Essential Functions and Responsibilities of the Job

  • Supports and operationalizes the mission statement, vision and values of the organization and MMCF and ensures that these elements are incorporated into his/her respective role.

  • Strengthens and promotes the public image, mission, philosophy and values of the organization with public and private agencies, individuals, corporations and foundations to define the role philanthropy plays in supporting research, and healthcare programs. Ensures the effective communication of organizational vision, mission and values to all constituents.

  • The Events Manager is an experienced, take-charge professional with the ability to manage administration and logistics of the Foundation's three signature events: Gala, Golf Tournament, and Stewardship luncheon, as well as lead and/or assist on the planning of the Foundation's secondary events: small-group/boutique events related to major gifts and physician engagement, and other stewardship events. The Events Manager may also be required to support any additional Foundation-partnered hospital &/or 3rd party events as deemed necessary. The successful candidate must be able to anticipate project needs, discern work priorities, meet deadlines with little supervision, and work occasional evenings and weekends.

  • The Events Manager exhibits the Memorial Medical Center Foundation's characteristics of integrity, responsibility, caring, and prudent stewardship of the Foundation's resources The successful candidate should have a love for event management, provide outstanding customer service, be an enthusiastic professional, and build relationships with internal and external volunteers and donors.

  • Lead all aspects of Foundation related event production, including but not limited to: the creation and managing of event timelines, diagrams, sponsorship and participant tracking, event budgets, marketing collateral and other functions as necessary for all special events. Work with Foundation team and third-party communications team to ensure proper coverage, both internal and external, for events. Maximize the coverage options by managing and updating event websites, including social media, content. Assist with production of design for all event-related materials, such as save the date notification, invitations, programs, agendas, and signage. Collaborate with support services to develop event mailing lists, to track event participation, and to enhance all event communication. Inform leadership and key participants of event logistics by preparing the event scenario and include event briefings.

  • When applicable, lead and manage all event committees, committee chairs, hospital managers, and/or volunteers in the successful planning and execution of event. This requires finesse, grace and the ability to provide an outstanding level of customer service and care. Arrange food and beverages, orders supplies and audiovisual equipment, manage event-related videography, create and order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of department, event committees, and volunteers. Propose new ideas to improve the event planning and implementation process. Serve as liaison with vendors on event-related matters. Manage on-site production and clean up for events as necessary. Work with the appropriate partners to update event micro sites to promote individual events. Close out all events as required.

  • Assist with preparing budgets and provide periodic progress reports to managers and directors for each event project. Directly responsible for managing event budgets and being fiscally responsible. Keep track of event finances including check requests, invoicing, and reporting. Manage event staff/volunteers and delegate event responsibilities with clear guidelines and expectations. Prepare and modify event contracts as requested.

  • Provide internal and external customer/event participant support for all aspects of other hospital fundraising events outside of the Foundation, as well as Charity of Choice events and online/offline fundraising in an accurate and timely manner.

  • Performs other duties as assigned.

  • Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Minimum Requirements

Qualifications/Work Experience:

  • At least three years event planning experience required.

  • At least two years management experience required.

  • Experience in a non-profit fundraising environment preferred.

  • Two years of experience with the stewardship of donors preferred.

  • Experience working with volunteer event committees and Boards preferred.

Education/Licensure/Certification:

  • Bachelor's degree; significant work experience can substitute for the degree required.

  • Excellent communication skills, including writing, proofreading skills, and speaking.

  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers.

  • Excellent interpersonal skills both in person and by phone, with high professionalism.

  • Ability to accomplish projects with little supervision.

  • Excellent customer service, strong work ethic and high expectations for quality.

  • Proficient using the latest versions of Raiser's Edge, Microsoft Word, Excel, PowerPoint, and Outlook.

  • Ability to multi-task and problem-solve in a fast-paced environment.
