Seeking an individual who thrives in a high paced environment and will provide high-level administrative

support to the Food and Beverage Executive Team. Conducting research, preparing statistical reports,

handling information requests, performing clerical functions such as preparing correspondence,

financial related reports and scheduling meetings are the main functions of the position.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answer phone, open, sort, and distribute incoming correspondence, including faxes and email.

  • Greet visitors and determine whether they should be given access to specific individuals.

  • Prepare responses to correspondence containing routine inquiries.

  • Perform general office duties such as ordering supplies and maintaining records.

  • Coordinate vendor meetings and visits for the F&B Executive team.

  • Organize and distribute daily F&B events & occupancy sheet

  • Organize announcements for birthdays, anniversaries, promotions, staff meetings & recognitions

  • Coordinate menu and printing needs with the Marketing Department.

  • Prepare weekly management agendas for F&B Executive Team

  • Attend BEO meetings, prepare and maintain event books for F&B Executive team.

  • Prepare for presentation all daily banquet checks.

  • Respond to all guest review boards daily, GSS, Yelp, Google, OpenTable, other media & run a monthly performance index summary

  • Manage digital & manual format of documents, records and reports; including all monthly reports generated throughout F&B division.

  • Coordinate office services, such as records & budget preparation, personnel, payroll processing.

  • Prepare reports, memos, letters, financial statements and other documents as requested.

  • Manage employment applications for F&B Management.

  • Audit & manage daily employee time & attendance cards in payroll software & submit reports to HR.

  • Manage uniforms & linen inventory & invoices

  • Manage F&B related invoices

  • Complete appropriate trainings listed on the human resources Training Matrix

  • Adhere to Wheeling Park Commission's safety rules and policy; refer any and all safety concerns to department manager, safety committee or human resources

  • Interact with the public with a cheerful and positive attitude, solve guest problems and complaints in a proper manner, maintain harmonious working relationships with fellow employees

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or two years related experience and/or training; or equivalent combination of education and experience.
