Job Description:


Provides comprehensive administrative support to designated leaders/groups, which may include support of strategic projects. Anticipates and initiates actions regarding office operations which require knowledge of the Institute and other departments. Provides professional representation to internal and external community. Maintains confidentiality regarding all matters and materials.


  • Provide "floater" AA coverage during short gaps in service throughout the Institute. Responsibilities may include being listed as out-of-office contact for administrative assistant colleagues, scheduling meetings, coordinating catering needs, greeting guests, etc.

  • Provide direct administrative support for designated group(s), which may include: correspondence, meetings/event coordination, travel coordination, record keeping and other duties as assigned.

  • Provides strategic administrative support to various initiatives as needed. Responsibilities may include attending meetings, participating on subcommittees, preparing written correspondence/documents, etc.


  • Bachelor's degree or equivalent with 2-3 years of progressive experience in an administrative/business services role

  • Experience in a research setting preferred

  • Demonstrated success working in a highly collaborative and complex environment

  • Strong communication skills, both verbal and written; strong interpersonal skills, including the demonstrated ability to influence others and to build working relationships

  • Strong customer service skills and excellent problem solving skills

  • Strong organizational skills and attention to detail

  • Ability to be flexible, to multitask and to work in a fast paced and challenging environment

VIEW JOBS 9/11/2019 12:00:00 AM 2019-12-10T00:00 OUTCOME Under the supervision of the Executive Vice President performs a variety of administrative, secretarial, and clerical functions in support of the Mount Auburn Professional Services Physician Group Practice. Principal Duties and Responsibilities 1. Coordinates the complex calendar of the Executive VP & CMO and Senior Director of Practice Operations of Mount Auburn Professional Services. 2. Makes travel arrangements as needed. 3. Answers, screens, routes, and relays phone messages; initiates phone calls. 4. Prepares a variety of memos; comfortable collaborating on memos, including drafting language and offering suggestions and constructive feedback. 5. Creates documents, spreadsheets, meeting agendas, and presentations. 6. Takes minutes at select meetings. 7. Collects and processes documents needing the signature of the EVP/CMO or Sr. Director. 8. Miscellaneous administrative tasks: organizes files; prints documents as needed; orders catering for certain meetings; etc. Requirements: KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 1. Ability to read and write in order to create, type, edit, and process a variety of departmental documents, letters, memoranda, and reports normally acquired through an Associate's degree in secretarial science or five years of experience. 2. Ability to perform basic mathematical functions and elementary statistical analysis in order to assist in the preparation and evaluation of management information. Ability to use Microsoft Word and Excel is preferred. 3. Interpersonal skills to communicate effectively and tactfully with a variety of staff and visitors, utilizing independent judgment in screening calls and visitors for the Chair and to act as an informational resource for hospital personnel. 4. Ability to concentrate and pay close attention to details and work time when typing and organizing data. 5. Ability to function independently. Strong analytical ability 6. Ability to discern between minor/major issues and ability to communicate effectively. 7. Strong focus on ability to perform a variety of tasks in order to obtain goals. WORKING CONDITIONS Normal office environment.
