Job Summary:

The Flight Coordinator & Charter Optimization Specialist has the primary responsibilities of operational safety, revenue generation, and compliance of our flight operations. This will be a split role with some shifts and times focusing on Charter Sales, and others focused on operational responsibilities to provide balance, cross training, and maximum efficiency and development opportunities across the Team. The ideal candidates will possess an outgoing personality, high attention to details, an entrepreneurial mindset, and commitment to providing the best value, safety, and experience in Charter services to our valued clients.

Core Schedule:

  • Variable to include rotating weekends and day/evening shifts.

Compensation Package:

  • Commission based per the Charter Sales & Optimization Advisor Variable Compensation Structure.

  • Base Salary of $50,000.00 - $70,000.00 (annualized), paid bi-weekly.

Day in the Life:

Charter Sales and Optimization:

  • Prepare and issue quotes from requests received through brokers and other wholesale channels and for leads sourced from trip boards and self-generated clients.

  • Process sale orders for any customers as requested.

  • Review current and upcoming flight schedules for opportunities to streamline and increase sales.

  • Review trip boards like Avinode, and others, for one way, connectors, or other trip opportunities to fill in gaps in the charter schedule.

  • Review charter schedule for opportunities to fill in trips and search for clients or broker needs that can fill in the gaps found.

  • Coordinate with peer group to determine areas of focus for sales and scheduling issues to be resolved.

  • Ensure all passenger catering, transportation and hotel details are listed on the Final Crew Trip Schedule for the crew.

  • Review cost and revenue data to ensure that trips quoted and sold meet the fiscal guidelines set by the company.

  • Seek new opportunities for business aviation clients.

  • Develop key customer relationships across all product spectrums.

  • Work with peer team members and leadership to build and achieve department goals and performance targets.

Flight Coordinator Operations Responsibilities:

  • Responsible for ensuring each flight is operated safely and in compliance with the Federal Aviation Regulations as well as Company Policies and Procedures, with respect to aircraft, crewmembers, and airports.

  • Responsible for releasing and directing flights based on assigned crew members and aircraft status. OCC staff are responsible for determining the safety and legality of each assigned flight.

  • Ensures the safety and perfect client experience through proactively identifying and eliminating all potential risks associated with every flight. This includes, but is not limited to, identifying, and communicating all weather, airspace and airport related information to the appropriate departments and ensuring the appropriate aircraft is assigned to meet the client's needs.

  • Ensure each flight is conducted with the highest degree of safety and in compliance with all FAA, TSA, and company applicable policies and regulations.

  • Responsible to assign crew members to flight assignments and designate PIC.

  • Assist in coordinating and confirming details for international trips to include, but not limited to, customs, handling, overflights, visas, APIS, and landing and parking permits.

  • Endure all applicable trip information including crew assignments, international set up, FBO details, airport notes, fuel prices, are accurately completed and listed on the Final Crew Trip Schedule for the crew.

  • Convey verbal trip briefings and transmit final itinerary details to assigned Pilot in Command.

  • Authorize the execution of a flight or series of flights through a Flight Coordinator release conducted prior to departure.

  • Ensuring when the conditions are specified for a flight's release cannot be met; the flight is canceled, delayed, rerouted or an alternate plan is executed on.

  • Ensure prompt escalation and communication of any flight exceptions, abnormal situations, or irregularities to the required parties.

  • Document and track any VFR Flight Locating movements as directed by applicable regulations.

  • Monitor the progress of each flight, IFR or VFR, and initiating timely actions when the flight cannot be completed as planned, including diverting, or terminating a flight.

  • Proactively communicate trip delays, maintenance issues, and customer service concerns through Service Reports application on SharePoint.

  • Confirm arrival of each flight and, if unable, initiate overdue aircraft procedures.

  • Coordinate trip details and feasibility through various departments including Maintenance, Crew Records, Client Services, and Charter Services.

  • Ensure all crew members assigned to each flight are legally qualified and eligible to fly in the aircraft and type of operation through coordination with the Crew Records and Operations departments.

  • Ensure all assigned crewmembers are in compliance with the FAA flight and duty time rest requirements at the time of duty on and will remain in compliance through the duration of the proposed duty day, ensure optimal aircraft staffing coverage, and properly indicate and honor days off.

  • Enter all post-flight times for aircraft and crew members into the system for accurate tracking and maintaining of flight records.

  • Assist in the planning of flights with crew members to maximize safety and lower costs through fuel burn or uplift locations.

  • Follow all TSA "No Fly List" requirements and checks prior to each flight.

  • Participate in and complete the Daily Flight Review and Flight Risk Assessment for each flight.

  • Work closely with Peer Group and Owner Services Team Members to ensure accurate understanding of client needs, service history and expectation so the company can better fulfill client requests.

  • Flight Coordinators, if trained and assigned to duty, may release JAA flights if the Director of Operations and/or Chief Pilot have previously reviewed the flight details and no changes have occurred. The Pre-Flight checklist within Avianis must be utilized.

General Duties

  • Support and back up peer group Team Members on daily duties to support trips and crew as needed.

  • Take on additional projects and tasks as needed to support business growth and change.

  • Other duties as assigned.

What will make you successful:

  • Bachelor's degree in aviation, business, or related field.

  • Prior 14 CFR Parts 121 or 135; or DOD/DOT work experience.

  • Demonstrated experience in high volume sales with executive level clients.

  • 2 years' experience in 135 Charter sales, dispatch, aviation, or travel services strongly preferred.

  • Qualified in accordance with OCC Training Program and, to the extent of their responsibilities, have a full understanding of the operation with respect to: aviation standards and safe operating practices, 14 CFR Parts 1, 61, 91, 119, 135, 49 CFR Part 175, 830, Operations Specifications, maintenance and airworthiness requirements, and the manual required by 14 CFR Part 135.21.

  • Flexible working schedules is a must.

  • Must successfully pass background check and drug test.

  • Effective at organizing, planning, and prioritizing work to maintain contact with all customers and prospects.

  • Strong written and verbal communication skills with excellent ability to understand and translate customer requirements and interact and cooperate with company employees in all departments.

  • Tenacious self-starter with a mature outlook. Proven ability to operate independently and achieve results; enthusiastic, committed and conscientious.

  • Strong computer literacy and quantitative skills to manage data, process and distill information and communicate effectively.
