The Opportunity

Valvoline has a rewarding opportunity as a Fleet Sales Ops Coordinator. In this role, you will support the Fleet Advantage Sales Team, VIOC (Valvoline Instant Oil Change) store team members, and internal/external customers. This role helps manage the Valvoline Service Passport Program (VSP), adding new customers and reviewing repair orders. The Fleet Sales Ops Coordinator will support sales team members with onboarding new fleet customers, ensuring proper paperwork and processes are met. This role manages the new store acquisition process by transferring and onboarding the previous owner's fleet accounts. You will also communicate the opening of our stores with national fleet accounts. Lastly, this role will help support our Fleet Management Companies (FMC) and VIOC stores by managing store-specific issues, providing portal logins, and training stores on reoccurring fleet issues in their store.

This will be a Hybrid role with a schedule of: 1:00 PM (EST) - 10:00 PM (EST) on Friday, Monday, Tuesday; 9:00 AM (EST) - 6:00 PM (EST) on Saturday and Sunday.

How You'll Make a Difference

  • Operations Support: Manage a strategic program called Valvoline Service Passport by reviewing repair orders and onboarding customers into the program. Reviewing repair orders is measured with a time metric and is urgent. Communicate with internal/external customers to gain necessary approvals and inform sales team members of any issues.

  • Inside/Outside Sales Support: Manage onboarding new commercial accounts (customer set-up in POS and SAP, communicating with new customers, generating digital account information, notifying sales rep of set-up). Explore new ways to increase fleet revenue by helping develop new processes for the sales team to identify gaps within reporting needs.

  • Internal Support: Manage VIOC store ground-ups and acquisitions by working with the internal project manager to obtain fleet information from the previous owner's accounts. You will also ensure VIOC stores are set up with ARI/Holman portal login and communicate this to the Service Center Managers.

  • External Customer Support: Manage the day-to-day relationships with the larger FMCs on store-specific issues. Helps FMCs by educating our VIOC stores on reoccurring issues. Create announcements and design training regarding new fleet programs or updates for store training.

  • Other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

What You'll Need to Succeed

  • High School diploma

  • Minimum of three years of experience in administration, customer service, account management, project management, or marketing

  • Proficient in Microsoft Office (Excel, Word, PowerPoint)

  • Proficient in Visio and Zoho (CRM)

  • Must be authorized to work in the U.S.
