FLEET MARKETING COORDINATOR

UNION TANK CAR CO. / LEASING BUSINESS UNIT

CHICAGO-BASED POSITION / HYBRID IN OFFICE AT LEAST ONE DAY PER WEEK PLUS WORK FROM HOME.

POSITION SUMMARY:

The Fleet Leasing area is responsible for the pricing and assignment of the existing fleet, participation in the ongoing existing rail car renewal program and the expeditious movement of tank and freight cars from various points to ensure optimum fleet utilization. The incumbent provides support by processing inquiries and orders to ensure the order/inquiry system is current, evaluates orders and inquires, assigns cars on orders on a timely basis and expedites car movements and end charges cars in a timely manner. This may include contacting various sales offices, shops, railroad personnel, or storage locations to promote timely responses. In most cases, the incumbent will handle the above actions alone or with minimal guidance from their supervisor.

The incumbent reviews all cars to be released from assignment. They ensure that all contractual obligations, i.e., minimum rental period, cleaning, coating / lining removal and proper notice to company, have been met. Once the cars are determined to be eligible for release, the incumbent establishes release files and tracks the cars back to Union Tank Car control, which may be either to UTC shops or storage. There are numerous cars released each year and efficient handling of their return is critical to the remarketing efforts as well as the revenue performance of the company.

The incumbent is required to keep accurate records of storage locations utilized by Union Tank Car. This includes copies of contracts, contact information, and dates of cars arriving in and out of storage to process storage invoices. They will also be responsible for direct contact with storage locations to get cars released from storage or to resolve problems that may come up. They will also be responsible for the review and processing of all invoices related to the storage of cars as well as the switching of cars in and out of storage.

The incumbent works to always meet internal and external customer expectations by fully applying oneself to the task involved, preventing errors, and developing and implementing personal quality improvement projects.

Primary responsibilities and/or essential functions include, but are not limited to:

  • Processes inquiries and orders to ensure Fleet Operating System is up-to-date.

  • Evaluates customer orders and inquiries to ensure prompt and accurate responses.

  • Assigns cars on order in a timely fashion.

  • Reviews status of cars with pending begin charge duties and working with the appropriate personnel to expedite assignment.

  • Keeps accurate records of storage locations utilized by Union Tank Car Company.

  • Prepares special reports and performs special projects as needed.

  • Participates in and actively supports Quality projects and activities and Responsible Care initiatives to ensure that the Company achieves its goals.

SKILLS / SPECIFICATIONS:

  • Be able to digest and disseminate incoming information and to send outgoing messages and instructions in a clear and understandable manner.

  • Have knowledge of Microsoft Word / Excel and the ability to operate personal computers.

  • Communication skills (hearing and speech) to answer the telephone and take and give messages in a clear and understandable manner.

  • Reading and comprehension skills to screen incoming messages and mail for proper handling and the ability to set up and maintain work files.

  • Proven track record of successfully managing and launching products in a cross-functional environment.

EDUCATION / EXPERIENCE / QUALIFICATIONS:

  • High School diploma. Associates Degree is a plus

  • Railcar knowledge & experience preferred, but not required.

  • Experience in Microsoft Excel required

OTHER

  • Chicagoland based, <10% travel; For this role, at least 1 day physically in the office per week currently; this is subject to change.
