About Pueblo Regional Center Facility:

This work unit exists to provide fleet management and administrative support to the Pueblo Regional Center. The Pueblo Regional Center (PRC) is one of three state-operated Regional Centers providing quality, specialized services and support to individuals with developmental disabilities by promoting growth, participation, contributions, and capabilities. The Pueblo Regional Center manages nine group homes throughout the Pueblo West community, licensed to serve 72 individuals. PRC provides 24/7 care and treatment in home-like settings, while offering day programs; therapeutic, nutritional and health services; vocational opportunities; and specialized habilitation.

This position will report in-person 5 days a week to:

Pueblo Regional Center

This work unit exists to provide fleet management and administrative support to the Pueblo Regional Center. Position supports PRC in day-to-day fleet management to include maintaining and providing well-maintained vehicle transportation for individuals residing at Pueblo Regional Center and staff. This position also provides administrative support to include maintaining the copiers, ordering of supplies using a procurement card, budget tracking and serves as the OIT liaison.

Duties to include but are not limited to:

Fleet Management

This position will oversee the fleet management program and manage the PRC fleet of vehicles. Position is responsible for maintaining and providing well-maintained vehicle transportation for individuals residing at Pueblo Regional Center and staff.

Agency Technology Support

Position is primary OIT Liaison for PRC. This duty includes:

  • creating and updating OIT Access Request forms for all PRC staff computer access.
  • create and submit OIT forms for hardware and/or software requests.
  • creating and updating OIT Cisco phone/voicemail requests for all PRC office staff.
  • manage the HP computer leasing and order computers when needed.

Position is responsible for initial troubleshooting of computer, phone, printer and/or internet issues prior to ticket submission with OIT.

Agency Support & Data Entry

This position maintains all copiers in PRC's Core buildings and Homes by ordering copier supplies, program scanning groups within the copiers, and troubleshoots copier issues. Submits service calls as needed. Position researches copy machines vendors to ensure cost effectiveness and alignment with agency needs while following the CDHS approved purchasing guidelines. While ensuring to remain within the approved budget allotted, this position is responsible for monitoring, reviewing, approving and ordering all office supplies and other order requests for the Administration, Staff Development, Nursing and Residential areas utilizing State of Colorado approved vendors. Ensuring authority is granted by each department supervisor before orders are submitted. This position purchases items for Agency's Official Functions from local stores utilizing department P-card as approved by purchasing guidelines. Collects agency information to create and distribute the PRC Monthly Newsletter for all staff review.

Budget Tracking / P-Card

This position will monitor and track agency office supply orders and residential financial expenditures by researching, calculating and analyzing program funds.

  • Utilize Microsoft Excel to create and maintain spreadsheets for expenditures.

  • Provide information and guidance to program staff on financial procedures and limitations.

  • Monitors budgetary policies and protocols to ensure staff operates within CDHS Policies and State Fiscal Rules.

This position is responsible for P-Card monthly allocation for individual p-card.

This process includes:

  • collecting receipts and completing p-card receiving reports
  • reconciles each receiving report accounting string into the US Bank
  • run end of month reports for cardholder and approving official signature
  • monitors monthly balance to ensure spending does not exceed authorized limit
  • submits Journal Voucher (JV) for any coding that is incorrect to Southern Accounts Payable Office for correction

Experience Only:

Four (4) years of experience with administrative support to include budget tracking, ordering supplies, troubleshooting computers and copiers to submit proper work orders for service and experience creating and utilizing tracking sheets to include Google forms, Google sheets and/or Microsoft Excel

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation

related to the work assigned equal to four (4) years

Preferred Qualifications:

  • Fleet management experience to include vehicle inspections, scheduling vehicles for repairs and maintaining a fleet tracking system.

  • Good work history.

  • Excellent customer service.

Conditions of Employment:

  • Must have valid unrestricted Driver License.

  • Travel - Must utilize a State vehicle to run errands, manage fleet vehicles, and/or attend trainings/seminars.

  • Standard Background

ALL CDHS employees (non-direct contact): CBI name check, ICON Colorado court database, Medicare fraud database, Reference checks, Professional License verification (licensure requirements), and drug screen (commercial Driver's license)

  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position. Absent extraordinary circumstances, prior disciplinary termination or resignation in lieu of termination will disqualify the applicant from future State employment with CDHS.
