Description:

The Fleet Administrative Technician is responsible for providing administrative support to all fleet shops. Work closely with all county departments and divisions providing and requesting information. Assignments are specific and essential to the daily operations of the division. Store and/or retrieve information using intermediate to advanced computer skills.

Schedule: This position works a 4 day/10-hour schedule and is required on-site.

Compensation:

Anticipated Hiring Range: $23.00 - $24.00 USD Hourly

Compensation will be determined based on education, experience, and skills.

Essential Duties:

  • Complete all fuel system updates. Correct unit errors in the fuel system. Update the fleet inventory management system. Back up the systems information to the correct destination. Convert the stick readings into gallons and enter each reading into the fleet fuel system and inventory management system. Create fuel keys for new units and/or replacement keys. Add or delete fuel system authorization for County employees. Input the fuel delivery tickets into the fleet inventory management and fuel systems. Train fleet employees on the fuel system. Reconcile fuel issues and receipts.

  • Perform billing functions. Export information from fuel and equipment inventory programs. Troubleshoot error reports. Reconcile billing statements with fuel and equipment management program data. Coordinate with user departments regarding equipment usage.

  • Check meter readings daily. Accurate and current meter readings are essential as the information is used in both the fleet inventory management and fleet billing systems.

  • Assist with timekeeping in Workday and fleet management software

  • Create and maintain all new and existing tangible and electronic files. Enter data for reporting purposes into fleet services tracking systems.

  • Check in vehicles. Prepare papers to receive new vehicles and equipment. Verify title information. Obtain license plates and registration for units. Enter unit information in the fuel management software system.

  • Update information in the fleet management system when there are unit transfers. Generate disposal records in the fleet software system, forward surplus sheets to financial control, and enter revenue recovery records.

  • Preparation of the division's monthly billing. Generate journal entry transfers to internal departments when necessary. Pay invoices.

  • Assist with motor pool, fuel system and software IT including adding and deleting users and diagnostic computers and software.

  • Other duties and responsibilities as assigned.

Minimum Qualifications:

  • High School Diploma or GED and;

  • 1 or more years of work-related experience.

  • Or an equivalent combination of education and experience.

Preferred Qualifications:

  • Related administrative or fleet experience.
