General Statement of Job

The Fixed Assets and Receiving Technician verifies and keeps records on incoming and outgoing shipments, prepares items for shipment, and enters fixed assets. Assists with and is responsible for activities involved with shipping, receiving, fixed assets, inventory, deliveries, mailroom and copy center. Performs minor administrative duties and business detail by supporting the manager. Also provides support and assistance to the faculty and staff by coordinating the removal of surplus property and completing moves through the College district.

Specific Duties and Responsibilities

Specific Duties and Responsibilities

  • Operates and conducts routine preventive maintenance on College vehicles; notifies supervisor of any vehicle maintenance required.

  • Tracks and records damaged, lost, obsolete and transferred inventory.

  • Prepares memoranda to department heads concerning items received or fixed assets.

  • Receives, inventories, and tags all items delivered College wide.

  • Files all incoming purchase orders and receiving reports from Purchasing in an organized manner.

  • Unpacks and examines incoming shipments, rejects damaged items, records shortages, and corresponds with shipper to rectify damages and shortages.

  • Delivers items to requestor in a timely manner.

  • Uses hand truck to move, convey, or hoist shipments from shipping dock to work area and during deliveries.

  • Matches purchase order to items received and remits bills of lading and/or invoices to the Accounts Payable Department.

  • Enters receiving information into the enterprise resource system daily to allow for a 3-way match.

  • Communicates with the requestor and Purchasing Department concerning quality and condition of items.

  • Facilitates communication, plans, and follows-up on administrative matters.

  • Processes confidential information and coordinates various projects.

  • Assists programs and departments with annual inventory by identifying, locating, and tagging assets.

  • Assist the Mailroom and Copy Center, as needed.

  • Performs other duties as assigned.

  • Required Education and Experience

  • To qualify, one of the following must be met:

  • College Certificate

  • A minimum of 30 earned college hours

  • Experience in fixed assets and receiving, preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.

  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.

  • Good critical-thinking and problem-solving skills.

  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.

  • Ability to work independently as well as a team player within department and with others.

  • Ability to adapt to constant change and periods of fast-paced, high-intensity work situations

  • Ability to work evenings and/or weekends as needed.

  • Ability to travel throughout the College district daily.

  • Demonstrated commitment to achieving the vision and mission of South Texas College.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to write routine reports and correspondence.

  • Ability to speak effectively before groups of students, customers or employees of organization.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Checks, Certificates, Licenses, and Registrations

  • Security Sensitive position: All applicants are subject to a criminal background check under South Texas College policy.

  • Must have or qualify for a valid Texas driver's license and proof of liability insurance.

  • Must maintain authorization to drive College-owned vehicles.

  • First Aid, Forklift, Hazmat certifications, preferred.

Physical Requirements

  • Exerting in excess of 100 pounds of force occasionally and/or in excess of 50 pounds of force frequently, and/or in excess of 20 pounds of force constantly to move objects.

  • Maintaining body equilibrium to prevent falling while walking, standing or crouching on narrow, slippery, or erratically moving surfaces. The amount of balancing exceeds that needed for ordinary locomotion and maintenance of body equilibrium.

  • Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized.

  • Moving about on hands and knees or hands and feet.

  • Bending the body downward and forward by bending leg and spine.

  • Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.

  • Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling

  • Applying pressure to an object with the fingers and palm.

  • Picking, holding, or otherwise working, primarily with the whole hand.

  • Perceiving the nature of sounds at normal speaking levels with or without correction.

  • Ability to receive detailed information through oral communication, and to make the discrimination in sound.

  • Bending legs at knee to come to a rest on knee or knees.

  • Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. Occurs to a considerable degree and requires substantial use of upper extremities and back muscles.

  • Ability to make rational decisions through sound logic and deductive processes.

  • Using upper extremities to exert force in order to draw, haul or tug objects in a sustained motion.

  • Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.

  • Extending hand(s) and arm(s) in any direction

  • Substantial movements (motions) of the wrist, hands, and/or fingers.

  • Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.

  • Standing particularly for sustained periods of time.

  • Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.

  • Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.

  • Shouting in order to be heard above ambient noise level.

  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading, including color, depth perception, and field vision.

  • Visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of facilities or structures.

  • Visual acuity to operate motor vehicles and/or heavy equipment.

  • Close visual acuity to perform an activity such as: visual inspection involving small defects, small parts, operation of machines; using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
