The Opportunity:

WSDOT is looking for two energetic individuals to take on payroll and administrative tasks at the Tacoma Maintenance Office. These individuals will work as part of a team to provide daily assistance to the public and staff members at the site while answering and directing telephone calls and performing daily office duties. You will certainly thrive in this position if you have experience in customer service, knowledge of payroll functions, and possess strong attention to detail.

These positions will perform the following work:

  • Review payroll documents and time sheets for accuracy.

  • Enter payroll data in accounting systems.

  • Process payments and reconcile credit card transactions.

  • Prepare and process payment vouchers.

  • Prepare, review and process financial reports.

  • Monitor leave usage and inform staff of leave balances.

  • Perform office support tasks.

  • Provide customer service support to the public and local teams responding to inquiries.

  • Review and issue permits as necessary.

  • Other duties as assigned.

An ideal candidate for this position will have:

  • Two years of office experience.

  • Experience performing financial related duties such as payroll and timekeeping.

  • A high school diploma or equivalent.

  • Experience to maintain speed and accuracy with complex accounting and payroll applications.

  • Ability to interpret departmental policies, procedures, and collective bargaining agreements.

  • Strong customer service experience that includes cash handling.

  • Strong computer and office equipment skills.

  • Have the ability to communicate effectively, verbally and in writing in a customer service oriented atmosphere.

Assists Fiscal Analysts with Positive Pay process plus electronic submission of TCC Bookstore and TCC college campus DOR taxes. Assist Budget Analyst with fielding inquiries via CTC Link. Budget Track regarding A/P expenditures, plus input, verify & monitor uploaded data. Audit & process, for compliance, all travel claim forms submitted by college personnel following OFM and TCC policies & procedures. Provide instruction to college personnel as to the proper completion of travel documents for timely submission. Ensure timely payment of registrations, lodging & advances when Travel Authorization. This position interacts in a professional manner, with all areas of the campus including faculty, staff and students as well as other agencies. Essential Functions * Process college payments (Purchase Orders/Procurement Cards/Invoice Vouchers/Voucher Distributions) to authorized vendors, contractors and others providing goods & services to the college.Solve problems that arise within the work area. * Research & interpretation of OFM travel regulations plus development/creation of the TCC travel policy & procedure manual for publication on TCC website in order to process travel documents. Update new rules/forms/per diem rates whenever necessary for accurate information to be relayed to college personnel in a timely manner. * Prepare & maintain A/P file to include, but not limited to, a pending payment file & an encumbrance file so information is readily available.Prepare & maintain Travel ADVANCE log for the purpose of tracking money advanced to college personnel when on Official State Business for travel expenses plus collecting any moneys due TCC upon trip completion. * Assist Accountant with Positive Pay process plus electronic submission of TCC Bookstore and TCC college campus DOR taxes. Assist Budget Analyst with fielding inquiries via Budget Track regarding A/P expenditures, plus input, verify & monitor uploaded data. * Perform other related duties as required Qualifications Minimum Qualifications * High school graduation or equivalent. * Fifteen quarter hours or ten semester hours of college level accounting or bookkeeping. * Two years of experience in accounting, bookkeeping or equivalent education and experience. * An Associates degree or equivalent may substitute for one year of experience. * Experience using accounting related software. * Intermediate word processing and spreadsheet skills. * Understand and interpret OFM travel procedures, rules and regulations. Preferred Qualifications * Associates degree or higher from an accredited college or university. * Experience using PeopleSoft financial software. * Experience working in a high volume, customer service, front desk setting.
