This position is the primary contact for all procurement, travel, and billing activity within the Dean's Office of the College of Arts and Sciences at the St. Petersburg campus and reports to the Manager, Fiscal and Business Administration.
DUTIES INCLUDE:
Reviews purchase requests for adherence to USF Purchasing policies and appropriate documentation.
Serves as a liaison between departments within the college and with vendors regarding contracts,
quotes, billing statements & payment terms. Verifies available budget and determines the proper
purchasing mechanism. Secures pcard payment and/or inputs request into Bull Marketplace. Reviews
vendor invoices for completeness, accuracy and approvals. Creates receipts for approved invoices.
Processes changes to purchase orders as needed. Ensures all documents are transmitted to Accounts
Payable for payment. Coordinates with USF St. Petersburg Campus Computing regarding technical
purchases and UTSB approvals. Maintains Attractive Asset log.
Arranges and coordinates travel for college staff, students, employee candidates, consultants, and
guests using the Archivum system. Ensures compliance to University policies and procedures. Verifies
available budget and determines which transactions are acceptable for pcard use or traveler
reimbursement. Responsible for timely processing of all travel authorization requests, cash advances,
and travel expense reports.
Supports EBA auxiliaries by submitting invoices to external, non-research customers and monitoring
accounts receivable via FAST. Runs sales reports for Touchnet transactions.
Serves as CAS liaison to USF Foundation Accounts Payable department. Stays up to date on all USF
Foundation travel and purchasing policies. Creates and submits requests for vendor payment, traveler
reimbursement, and DSO convenience fund reimbursement. Monitors requests from initiation to
payment. Reconciles DSO convenience fund balance sheets and financial reports.
Other duties as assigned, supervision of student workers
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a High School diploma OR equivalent with three years of work
experience in positions with fiscal support duties. College or other relevant post-secondary
coursework may substitute for the experience requirement on a year for year basis.
PREFERRED: A Bachelor's degree is preferred.
Experience with MS Office 365, Adobe Acrobat is preferred.
Experience with USF Travel and procurement processes preferred.
