Summary

Part-time: 20 hours per week

Performs entry-level work primarily performing miscellaneous clerical responsibilities, data entry, answering a multi-line telephone system, and greeting citizens. Generally, this position uses entry-level skills and works under close supervision, with limited latitude for the use of initiative and independent judgment.

Essential Duties & Required Qualifications

  • Welcome visitors to the Fire Building.

  • Answer incoming telephone calls and direct them to the appropriate party. Check voicemail and respond to requests and or messages.

  • Provide excellent customer service to department staff, the general public, and all other work contacts.

  • Respect confidentiality in discussing citizen, staff, and organizational matters.

  • Assist staff with media and public relations for the department. This may include but is not limited to updating websites, answering questions about Leander Fire Department participation in special events, managing several active social media platforms such as Twitter, Facebook, Instagram, YouTube, and LinkedIn.

  • Schedule outreach programs and tours.

  • Data entry of records, inspections, and appointments accurately and thoroughly.

  • Assist other employees with record keeping or other related duties.

  • Process fire permits, inspection reports, and construction/permit applications.

  • Prepare and process outgoing mail to include accurate weighing, coding, sorting, affixing postage, addressing, and preparing certified/overnight/return receipt mail. As needed, update postage balance and obtain updates to postage machine software.

  • Distribute delivered mail daily.

  • Maintain a thorough working knowledge of, and adhere to, organizational policies, regulations and procedures.

  • May be required to report for work on weekends or after normal business hours if a department emergency is declared.

  • Order and re-stock office supplies when necessary.

  • Perform other related duties as assigned.

Required Education and Experience

  • High School degree or its equivalent.

  • Minimum of six months related experience.

OR

  • Equivalent combination of higher education and experience in administrative and reception responsibilities.

Preferred Qualifications

  • Office Assistant Certification or Associate Degree in a related field.

  • Ability to speak conversational Spanish.

Knowledge, Skills & Abilities

  • Ability to communicate effectively both verbally and in writing.

  • Ability to follow detailed verbal and written instructions.

  • Ability to communicate with other employees and the general public in a courteous and diplomatic manner.

  • Skill in handling multiple tasks and prioritizing.

  • Ability to work hours other than the regular daytime schedule such as shift work, on call, or emergency response situations (i.e., early-mornings, afternoons, evenings, and late-nights shifts, weekends).

  • Skill in using computers and related software applications, including MS Office Word, Excel, and Adobe.

  • Ability to develop and maintain effective working relationships with City employees, the public, elected officials, and boards and commissions.

Physical Demands & Additional Information

While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands to handle and feel items, reach with hands and arms, climb or balance, stoop, kneel, talk, and hear. Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
