The Alamo Trust, Inc. is looking for a Financial Project Assistant to join the team!

POSITION SCOPE

The primary role of the Financial Projects Assistant is to assist in maintaining and monitoring the financial end of projects for the Internal Projects Director. This may include managing internal and external reporting, assisting with billing reviews, managing deadlines and workflow, and scheduling meetings and appointments.

DUTIES, RESPONSIBILITIES & ESSENTIAL FUNCTIONS

  • Create, maintain, and report on Primary/Secondary AP tracking log inclusive of but not limited to approved Primary budgets, Secondaries allocated to respective Primary, Primary balances, payments to-date relative to Secondaries and balances remaining for each.

  • Maintain master invoice tracking log inclusive of all AP Vendors to ensure timely payment submission.

  • Update master invoice tracking log upon payment issuances

  • Create, track and report on action item log associated with master invoice tracking log to ensure timely resolution of issues relative to payment issuance.

  • DocuSign entries and signatory follow-ups.

  • AP Vendor reimbursable submission processing.

  • Help prepare necessary presentation materials for meetings.

  • Provide additional project coordination and administrative support, as requested

REQUIRED QUALIFICATIONS

  • Bachelor's degree in accounting or related fields

  • Familiarity with project management, scheduling and basic accounting principles required

  • Two or more years of equivalent experience in related fields

  • Must be proficient in Office 365 (Word, Excel, Outlook and SharePoint)

  • Exceptional attention to detail.

  • Ideal candidate will be a proactive self-starter who excels at working in a dynamic and changing environment

  • Strong interpersonal, strategical and problem-solving skills

  • Ability to manage and/or contribute to a high volume of complex tasks and prioritizing workflow and a wide range of projects at any given time in a fast-paced office environment

  • Strong team-orientation and professional attitude.
