Operations Specialist


This position provides operations support to clients, participants, and internal team members by creating communications, supporting accounting, banking and funding activities, managing small to medium sized vendor relationships, assists with financial and compliance audits and resolves escalated issues. Additionally, this position is a subject matter expert (SME) in an assigned product. This position typically performs work in a corporate or field location and reports to an Operations Supervisor or Manager.


  • Supports accounting functions; on a weekly and monthly basis, prepares standard financial reports such as balance sheets, trial balance and statement of cash flows, aggregates data, conducts report analysis, completes exception processing, processes remittances, adjusts client balances, prepares bank deposits, supports Finance and Accounting's month and year end close activities, and generates and distributes aging reports.

  • Supports banking and funding activities; reconciles bank statements, creates credit and debit memos, administers funding exception processes, generates daily funding activity report, completes remittances, completes accounts receivables cash application activities, and administers participant transaction adjustments.

  • Communicates and provides feedback in product area during research, discovery, training, internal and external communications and in meetings, and assists with product development research specific to product functionality while scoping platform enhancements and gap closures.

  • Provides administrative support; creates, coordinates and monitors policies, procedures, and tools used in daily work routines, fulfills and maintains supply orders, tracks deliveries, loads documents to intranet, opens basic product support query's (PSQs), creates client profiles in accounting system, conducts basic process mapping, formats and manages report creation and distribution.

  • Interacts with vendors to monitor inventories and troubleshoot escalations; leads processing of orders for mid/large size vendors and agencies, reconciles and maintains inventory levels, creates orders, plans and guides participant statement distribution, creates desktop procedures and control narratives, directs Quick Start guide quality control, updates ETA list, leads adjustment processing.

  • Reviews data variability, provides root cause analysis, determines and communicate actions; ensures for the timely delivery of data files to and from processing platforms and vendors, ensures data integrity of all files, processes complex reconciliations, assists in resolution of identified data integrity issues, reports job failures to department leadership, leads file management efforts, tracks and monitors job movement, Positive Pay and ACH files and identifies potential issues, provides data mining reporting, leads creation and maintenance of desktop procedures, and participates in SSAE and SOX audits as requested.

  • Completes basic tasks on multiple applications used in operations; generates orders from order application, tracks distribution activity, generates payments from payment application(s) or source data, , uploads files and reports to intranet, voids and reissues payments, processes reimbursement requests, generates payments from payment application, creates Finance EOM reports, tracks return pass resolution, generates reports and interprets results.

  • Manages medium1 and large sized vendor relationships, participates in quarterly business reviews, and assists business continuity actions; represents WageWorks and client interests with vendors, serves as SME to external and internal business partners, reviews pricing for accuracy, validates vendor invoices for payment, develops desktop procedures and control narratives, trains new hires, participates in SSAE and SOX audits, conducts research on alternative vendors as directed.


  • A strong customer service orientation is essential.

  • Demonstrated ability to adapt to the changing demands of business is a must.

  • Intermediate computer application skills with MS office; ability to create and maintain electronic files and folder structures, create and revise intermediate formulas, pivot tables, and macros within Excel, mail merge Word documents, create basic PowerPoint presentations, convert documents to PDF and create hyperlinks within documents is required.

  • In-depth knowledge of one core job application and ability to access and complete basic tasks on multiple applications is required.

  • Mid-level understanding of industry, including consumer directed benefits (CDBs) is required.

  • Knowledge and skills with project management, and understanding of company project roadmap is required.

  • Subject Matter Expert (SME) in product area with understanding of differences in product lines on one platform as they relate to services provided to clients and participants; intermediate understanding of how daily work functions impact product lines and platforms is required.


Knowledge of business, finance and accounting or a closely related field as normally obtained through the completion of an Associate's Degree in Accounting, Finance, Business Administration or closely related field of study is preferred.
