Required Education and Experience:

  • Bachelor's degree or an equivalent combination of education and experience.

  • Two years accounting experience in a business office.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet software.

  • Practical knowledge of governmental and higher education operations.

  • Oral and written communication skills.

  • Customer service and problem solving skills.

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Bachelor's degree in education

  • Demonstrated ability to supervise others.

Essential Duties/Tasks

Invoice Entry and Data Processing:

  • Supervises invoice entry staff to maintain a 48-hour turnaround for AggieBuy invoices received from departments and suppliers.

  • Assists with processing requests for payment and non PO invoices, communicate closely with supervisors over auditors in regards to efficiency and assuring that deadlines are met.

  • Ensures that staff maintain accurate, consistent courteous, and timely customer service within 24 hours.

  • Provides customer service support to suppliers and departments on status of payments.

  • Assists with special projects to become more efficient on payment processing for both our departments and for our suppliers.

  • Provides input to management team to create and manage metrics within Accounts Payable.

  • Maintain DMR procedures.

Supervision

  • Supervise Accounts Payable staff to ensure work is performed at a high level and in a timely manner.

  • Provides support and training to staff through daily emails, regular meetings and individual training for efficiency and accuracy.

  • Approves timesheets, leave requests, and performance evaluations.

  • Provides training to new staff and provides backup support to staff when deadlines need to be met.

Payment Distribution & Inserting Service:

  • Supervises check/payment processing staff to ensure payments are printed and mailed out within a 4-hour time frame.

  • Keeps track of inventory control over check stock, envelopes, reprints of checks, and returned checks.

  • Provides training, administration, and support of Troy-Assure pay check printing software.

Imaging and Mailroom Processes:

  • Supervises imaging and data control staff to maintain a 24-hour turnaround timeframe on mail received in Accounts Payable.
