Position Summary:In this position you will work as part of a team to drive the achievement of financial goals for the year by tracking completion of vendor contracts and hotel inventory. Familiarity with Excel is necessary to maintain and develop the reporting database and strong interpersonal skills are required to partner with our cross-functional and worldwide teams.

Key Responsibilities:

  • Update and maintain financial data and provide summarized reporting to regional leadership teams
  • Reconcile vendor contract information by comparing and correcting data
  • Initiate external audits of data and coordinate resolution of discrepancies

VIEW JOBS 11/9/2018 12:00:00 AM 2019-02-07T00:00 General Summary: Under the supervision of the CCI Assistant Director of Finance, Finance Assistant independently performs wide variety of accounting and other financial transaction. This includes creating monthly expenditure reports, posting and reconciling charges, processing invoices and accounts receivables in a timely manner by utilizing Partners/BWH financial management tools/systems, perform ongoing analysis and reporting as requested. Assist Financial Director as well as collaborate with other admin staff to process purchasing, accounts payable, payroll and other financial administration issues. Assist Financial Director for the grants and hospital operation fund budget management, fiscal management of the CCI's ~100 employees and perform per requested. Principal Duties and Responsibilities: Specific responsibilities include: * Prepare and process invoices (including CCI CROSS Core monthly invoices) and receivables, including vendor setups, in a timely manner, utilizing Partners/BWH financial system Tools and CCI specific management software * Assist to review, reconcile and prepare course closing financial documents with supporting systems, in preparation for a 90-day net distribution to Partner institutions. * Assist CCI Directors and Core Staff for various financial processes and questions * Understanding, communicating and applying Partners/BWH's financial policies where applicable * Interpret and transmit institutional policies, training requirements, and deadlines across the CCI. * Prepare and create journal entries, along with pertinent backup documentation, including cancellation fees, correcting entries, accruals, etc. * Assist with ad-hoc projects and departmental and/or grant financial closings * Create SOP for CCI Core Financial Transactions. * Continuously assess and improve the efficiency of financial systems and processes. * May assist CCI Financial Director for the preparation of development in strategic goals and their translation into business/operational strategy and for executing the resulting operations to support the portfolio of clinical research funding at BWH * Other duties as required Other Administrative Responsibilities: * Assist other admin staff to manage office supplies (order, stock and maintain admin supplies and letterhead) * Support communication activities within the clinical research community via email, website, annual report, newsletter, and other avenues. * Maintain a current knowledge of Federal (HIPAA, GCP, FDA, etc), State, and Hospital laws, regulations, and guidelines governing human subject research; attends educational and professional seminars. * Assure activities to be following BWH, JCAHO, NCRR, OSHA, DPH, and state and federal regulations. * In conjunction with the Admin and Financial Director and managers, continuously assess and improve the efficiency of systems and processes. * May support marketing activities to increase awareness of CCI throughout the clinical research community. * Undertake additional special projects and perform other duties as assigned. Qualifications: * H.S. diploma required. B.A. or B.S. preferred. Accounting in Hospital/Academic Research background strongly preferred. * Experience in project management is preferred. * Relevant experience in an academic health center is preferred. * Knowledge of and experience with research related activities preferred. * Knowledge of and experience with NIH Financial Grants Management preferred. Skills/ Abilities/ Competencies Required: * Outstanding interpersonal skills, ability to handle sensitive human resources issues and assist a large and diverse staff in handling these matters... * Outstanding organizational skills are necessary to manage many competing timetables and responsibilities. Ability to delegate and effectively supervise and plan for the timely and successful completion of short- and long-term objectives. * High degree of analytic ability to manage the financial and human resources aspects of the position. * Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including senior hospital leaders, division faculty and support staff, representatives of other BWH offices, collaborating institution officials, granting agencies (NIH, industry and foundations) representatives, and vendors. * Must have strong working knowledge of Microsoft applications such as Excel, Access, and Word. * Requires the ability to work independently and to accept responsibility for complex and sensitive decision-making as it relates to the overall conduct of the program. * Interpersonal relationship skills needed to motivate others and work with many hospital-wide department heads, administrators, and physicians in a positive and collegial fashion. * Ability to work independently and accurately and concisely disseminate information in both written and verbal formats. * Must be extremely accurate working with a large amount of financial data, as consequences of erroneous financial data are significant. * Ability to independently identify and solve problems.
