This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

The Viterbi Family Department of Ophthalmology comprises 40+ faculty physicians and scientists, twelve resident physicians, 20 (including clinical and research) post-doctoral physicians and scientists, and over 250 staff with six divisions - Glaucoma, Retina, Cornea & Refractive Surgery, Pediatrics, Oculoplastics, and Neuro-ophthalmology. In addition, clinical services are provided at the Shiley Eye Institute Clinic, Ratner Eye Center, UCSD Jacobs Hospital, UCSD Thornton Hospital, UCSD Hillcrest Ambulatory Center, Ophthalmology 4th Avenue Clinic; UCSD Perlman Clinic, UCSD Rancho Bernardo Clinic, and the Veterans Administration (VA) Hospital. The Department of Ophthalmology has the largest single outpatient clinic at the University of California, San Diego, with over 120,000 visits annually. Additionally, over 5800 surgical cases are performed.

The Viterbi Family Department of Ophthalmology is rapidly growing and looking to expand its practice at the Shiley Eye Institute and research at the New Vision Research Center, Hamilton Glaucoma Center, and Jacobs Retina Center.

Incumbent is responsible for supporting development of department in preparation of financial analysis and academic functions through transactional efforts in support of Ophthalmology's academic, clinical, and research missions across multiple divisions.

Incumbent serves as a academic and fiscal support person for all divisions within Department of Ophthalmology, primarily through transactional efforts; receives additional work direction from the Administrative Vice Chair, Finance Manager and Research Affairs, and works collaboratively with division administrators and staff personnel to process transactions, identify financial risk and propose solutions, and audit transactions to verify adherence to UC, UCSD, UC Health Science, and Department of Ophthalmology policies and procedures.

Incumbent has the responsibility for serving Ophthalmology regarding various financial issues and topics of differing complexity:* Perform financial and operational transactional roles within the Department, including approval of employee reimbursement and other expense transactions, and review of samples from department transaction sampling plan.

  • Complete a diverse range of personnel matters, including departmental recruitment, visa, timekeeping, acting as a positive and contributing team player with strong professional commitment

  • Act in a professional capacity, applying skills to support evaluation of significant business needs / problems and complex issues to ultimately provide recommended solutions.

  • Support the research, analysis, and evaluation of financial and operational proposals and relevant policies, procedures, and regulations.

  • Respond to requests by converting financial data to actionable information to provide forecasts and recommendations.

  • Uses professional concepts, applies organizational policies and procedures to resolve routine issues, works on problems of limited scope, and follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained.

Contacts are primarily internal to the department or unit.

MINIMUM QUALIFICATIONS

  • Four years of related experience, education/training, OR a Bachelor's degree in related area.

  • Basic knowledge of finance policies, practices, and systems. Working knowledge of finance policies, practices, and systems, preferably in a University environment.

  • Acquiring ability to gather reasonably retrievable information to organize and perform basic financial analysis assignments. Must have the ability to identify issues; analyze data; develop, recommend, and implement, solutions.

  • Ability to effectively communicate verbally and in writing.

  • Basic proficiency using spreadsheet and database software in financial analysis, fiscal management, and financial reports. Proficient ability using spreadsheet and financial reporting software for analysis, transactional review, fiscal management, and reports. Advanced experience with Microsoft Excel, Word, PowerPoint, and Outlook for complex financial analysis, fiscal management, and financial reporting.

  • Basic interpersonal skills; broad service orientation and critical thinking skills; and attention to detail. Under management guidance, uses organizational skills to multi-task in a high volume environment. Ability to present opportunities and information in a tactful and diplomatic manner, with consistency in exercising independent judgment and discretion in matters of significance.

  • Ability to adapt to changing priorities. Strong initiative and ability to work and appropriately prioritize independently in a dynamic environment.

  • Ability to function as a member of a team. Acts as a positive and contributing team player, with strong professional commitment and initiative.

  • Basic knowledge and understanding of internal control practices and their impact on protecting University resources. Ability to interpret and implement UC, UC Health Sciences, UC San Diego, and regulatory agencies' policies, procedures, and guidelines.

  • Ability to expeditiously and accurately perform regular and routine financial and review transactions, recognizing areas of compliance or other concern and effectively presenting such information to leadership.

  • Working knowledge of finance policies, practices, and systems, preferably in a University environment.

PREFERRED QUALIFICATIONS

  • Experience with UCSD applications, including Oracle and Concur.

  • Ability to evaluate information, compare against relevant policies and procedures, and communicate requests for further information

  • Experience in documenting results of reporting procedures, requirements, and reports in an organized fashion both with internal and external stakeholders.

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $53,800 - $91,000 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $25.77 - $43.58

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
