SUMMARY

The Financial Aid Specialist is responsible for a variety of activities which include performing Federal Verification, managing and administering Federal Grant and Federal Direct Loan Programs, and assisting with Title IV refund calculations. Performs other related duties as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Sends financial aid packets with cover letter to all accelerated students requesting

information needed for award processing and verification.

Preps verification files for Award Packagers by performing Federal Verification

for all selected students and applicants, for all campus locations, in accordance with Federal Guidelines. Requests verification documents from all students selected for verification.

Assists with document data entry into the PowerFAIDS System as necessary.

Oversees the electronic processing of the Federal Pell Grant Program including electronic reporting of all awards and monthly reconciliation of funds.

Oversees the electronic processing of the Federal Direct Loan Program including electronic reporting of all awards and monthly reconciliation of funds.

Communicates with COD as needed in order to facilitate the Pell Grant and Direct Loan Programs.

Confirms student eligibility for aid awards prior to disbursement and processes electronic disbursement of all aid awards to the GMercyU Billing Office.

Runs and manages reports as needed from PowerFaids and PowerCampus Systems.

Assists with the completion of annual reports and surveys when necessary.

Assists with periodic audits of the PowerFAIDS system to identify and fix errors in order to maintain data standards.

Assists with Title IV refund calculations for students who withdraw from their program of study and returns funds electronically to COD as necessary.

Works flexible hours at multiple locations depending on departmental needs.

Counsels students as necessary.

Other related duties as assigned

Position Requirements

QUALIFICATIONS

Education \Experience

Bachelor's degree preferred and 1-3 years of related experience and/or equivalent combination of education and experience. Strong knowledge of Federal Student Aid Regulations especially related to verification and aid eligibility requirements preferred.

Technical Skills

Computer proficiency (PC Windows applications such as Excel, Word) is a must. Knowledge of financial aid software such as PowerFaids is highly desirable.

Must be capable of managing computers effectively. Has the ability to import/export files from one software to another.

Language Skills

Excellent communication and presentation skills

Mathematical Skills

Excellent computation skills and ability to analyze data.

Interpersonal Skills

Ability to interact effectively and professionally with others. Must demonstrate attention to detail, strong organizational skills, and strong customer service skills.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Able to handle multiple projects and priorities and work well under pressure.

Description Summary Responsible for office and bookkeeping functions related to the library and supervision of the circulation desk. Essential duties and responsibilities include the following. Other duties may be assigned. Participates in the development of library policy. Provides instruction and information to circulation staff on the use of the automated circulation system and library policy and services as needed. Schedules staff coverage of the circulation desk for all hours/times the library is open. Schedules, interviews, and coordinates training of Work Study Students. Develops procedures for borrowing by all library user groups. Manages the overdue process, including verifying that materials are overdue, mailing the notices, both paper and email; putting and removing 'stops' on student records in the SCT system; and maintaining record of such communications; entering holds in online student information records. Participate in the activities of the University and library organizations as requested or assigned. Maintains records of all financial transactions; prepares purchase requisitions and invoices for payment. Receives orders and checks packing slips (excluding book and AV orders). Follows up as needed with suppliers on outstanding orders or problems with shipments; gets pricing from vendors and applies appropriate discounts to orders and invoices. Maintains library copying and printing equipment, making service calls as needed and replenishing paper and other supplies. Sorts and distributes mail and manages keys. Processes and distributes current periodicals and newspapers. Manages move of current periodicals and newspapers to back periodical area and for recycling. Handles all cash from machines, circulation desk, etc. and deposits or disperses according to policy and procedures. Reports to library director and/or Service Center on plant needs; sends job requisitions and makes emergency contacts as needed. Monitors and approves time sheets for Circulation staff and student workers. Orders supplies; maintains an adequate inventory of supplies to meet anticipated needs. Interacts with Service Center, Finance Office, Purchasing, Financial Aid and other offices and with outside vendors. Circulation Desk Responsibilities * Charges materials in and out of the library using the library's automated circulation system. * Inspects returned books for damage, verifies due date and computer and receives overdue fines. * Performs searches of the circulation, patron and bibliographic databases, as necessary. * Distributes reserved and special reference resources. * Creates and changes phone message. * Sorts books, publications, and other items according to classification code in preparation for return to shelves, files or other designated storage area. * Issues borrower's identification card according to established procedures. Answers inquiries specific to the circulation desk on the telephone and in person and refers persons requiring professional assistance to a librarian. * Reshelf books. * Opens and closes the building according to procedure. Supervisory Responsibilities Directly supervises circulation staff employees. Carries out supervisory responsibilities in accordance with University policies and applicable laws. Responsibilities include participating in interviewing and hiring; training circulation staff employees; verifying time sheets for same; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Position Requirements Education / experience Bachelor's degree (or high school diploma with more than one year experience); minimum of one year's experience in a business environment, in a library or in a public service position. Technical Experience Experience with Microsoft Office; typing/word processing; familiarity with computers; bookkeeping and purchasing procedures and practices; office equipment maintenance; etc. required. Language skills Ability to read and comprehend simple and more complex instructions (both written and oral), short correspondence and memos. Ability to write correspondence.
