One (1) permanent-exempt, full-time (40 hrs. per week), full-year (260 working days) position.

Exempt employees are considered "at will" and serve at the discretion of the appointing officer.

Under general supervision of the Financial Aid Supervisor or designee, the 1487 Financial Aid Specialist (Financial Aid Outreach Specialist) will coordinate financial aid outreach presentations/workshops; conduct informational presentations to CCSF students, area high schools, middle schools, parents and community agencies; and increase financial aid awareness in order to increase eligible recipients; understand Title IV, State, and Institutional programs and regulations. The 1487 Financial Aid Specialist will also perform multifaceted and specialized financial aid functions in order to assist students with the initial phase of the application process, financial aid processing, data entry, and provide technical support; perform specialized financial aid document verification, and perform needs analysis work for the Financial Aid Office.

NOTE: This position requires working various financial aid office locations, various shifts - mornings, evenings, and weekends as needed.

Job Duties

1.Develops, implements, and organizes outreach efforts to assist students with completing application for federal, state, and institutional assistance; assists students with Financial Aid applications.

2.Conducts workshops to assist with the completion of the Free Application for Federal Student Aid (FAFSA) or California Dream Act Applications.

3.Conducts presentations, leads workshops, and disseminates information regarding the College/Financial Aid in high schools and other community agencies; conducts recruitment efforts among targeted groups to promote financial aid availability and encourage students to apply.

4.Participates in other campus activities to promote financial aid.

5.Advises and assists prospective, continuing and returning students and parents on the availability of various financial aid programs, and with the application process.

6.Coordinates and maintains liaison with various campus departments, high schools and other community agencies as required; represents the College at various outreach functions.

7.Develops and maintains student database for recruitment purposes and prepares student communications.

8.Designs and develops a variety of marketing tools that are used district-wide and uses State resources such as websites, to promote and educate the public about financial aid.

9.Assists in the development and distribution of materials related to special recruitment events, community activities, publications, fliers, web sites, and other marketing materials.



  1. Prepares communications/emails for district-wide and student distribution to announce availability of financial aid programs/scholarships.

11.Processes and reviews applications, performs needs analysis, packages and awards financial aid to qualified applicants.



  1. Advises students about their rights and responsibilities.

  2. Reviews student files prior to awarding; follows up for clarification or additional information. Completes and maintains financial aid records.

  3. Reviews reports to comply with institutional federal, state and institutional guidelines/policies.

  4. Uses Banner System to award students. Makes ISIR corrections, monitors satisfactory academic progress, etc.

  5. Determines eligibility and awards financial aid to qualified students based on current awarding guidelines and the availability of funds.

  6. Uses highly automated financial aid systems including Banner, SARS, WebGrants, COD, National Student Loan Database System (NSLDS), and CampusLogic to award aid.

  7. Advises students on an individual basis regarding eligibility requirements, Satisfactory Academic Progress (SAP), and resolution of unique student problems.

  8. Serves on committees that adjudicates student appeals for special case review.

  9. May work at other Centers to assist credit and non-credit students, and conduct workshops/informational sessions.

  10. Participates in regularly scheduled weekly meetings and trainings.

  11. Performs other related duties as assigned.


Minimum Qualifications

1.Possession of a baccalaureate degree in Developmental Psychology, Counseling, Social and Behavioral Sciences or related field from an accredited college or university; AND

2.One (1) year of verifiable work experience in federal and state financial aid programs, advising, evaluating eligibility, and awarding students. Experience must have included preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations.

Substitution: Work experience in a financial aid program as described in #2 above may be substituted for the required education on a year-for-year basis.

Note: Ability to lift and carry up to 25 pounds of financial aid materials may be required.

Desirable Qualifications

1.Strong interpersonal communication skills.

2.Strong public speaking skills/experience.

3.Knowledge of methods, procedures, and techniques pertaining to the coordination of an outreach program.

4.Knowledge of principles and practices of public relations.

5.Knowledge of federal and state student financial aid programs and application process.

6.Knowledge of federal and state student financial aid regulations.

7.Experience with financial aid packaging, verification procedures, and student aid eligibility guidelines.

8.Four (4) years of financial aid experience preferably from a higher education institution.

9.Experience in serving students from economically disadvantage background.



  1. Two (2) years of Banner System experience.

  2. Bilingual preferred.


Benefits

1.Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full-year (260 days/year) work schedules are granted, as paid days off, the days between Christmas Day and New Year's Day, as well as an additional five (5) paid days off during spring break.

Eligible school-term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Year's Day shall be granted three (3) paid days off to be scheduled by mutual agreement between the employee and supervisor. Eligible school-term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.

2.New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).

New Hires: As approved by the governing Board of the San Francisco Community College District, beginning October 1, 2021, City College of San Francisco requires that new and current employees, students, and business partners participate in the Covid Safety Campaign.

All parties entering CCSF facilities must demonstrate proof of covid vaccination in compliance with current CDC and SFDPH guidelines. New hires must submit documentation for verification to the Human Resources Department.
