Job Summary
Under the direction of the Executive Director of Financial Aid, the Coordinator will be responsible for providing technical support to ensure compliance with federal and state financial aid regulations. The Program Manager will serve as the liaison between the Financial Aid Office, Financial Services, and the Information Technology Department and will provide analysis of financial aid relate data, assist with maintenance of Colleague software and resolve software issues for Financial Aid.
Essential Duties and Responsibilities include the following. Related duties may be assigned.
1.Responsible for directing workflow, determining financial aid eligibility, and in the delivery of aid within current federal and state regulation
2.Serve as liaison with the Information Technology Department and assist with the testing of software patches, fixes, and regulatory updates to ensure quality assurance, system integrity and efficiency
3.Serve as liaison with the Financial Services and Accounts Receivable Departments and assist with reconciliation, check returns, audits, and reporting.
4.Manage the operation of the data management system within the Financial Aid Department including leading upgrades and development to computer systems and managing the Financial Aid portion of the imaging system
5.Coordinate financial aid award packaging and disbursement, research any transmittal discrepancies
6.Coordinate ISAC MAP awarding through GAP Access
7.Assist the Executive Director with communications management functions including creating, deleting and updating financial aid correspondence
8.Assist the Executive Director with self-service module maintenance and updates
9.Understand and execute Colleague rules and Saved List creation
Coordinate daily import and export of ISIRS, Corrections, COD responses, Transfer Monitoring, FWS reporting, and Origination and Disbursement
Responsible for quality assurance and ongoing internal review of ED compliance including supervising and assisting with internal and external audits as they relate to the Financial Aid Office.
Assist the Executive Director for the annual set up of all Financial Aid modules and systems in Colleague; implementing testing and troubleshooting procedures, and ensuring data integrity and the accuracy of the financial aid delivery system
Assist with maintaining office policies and procedures manual and assist the Executive Director in the review and establishment of policies and procedures as requested, including regular maintenance
Interpret and communicate federal, state and institutional policies, regulations and procedures as it relates to student financial aid and RVC.
Maintain confidentiality of student records according to FERPA regulations
Create ad hoc reports using Colleague and Informer
Assist Executive Director in preparing and maintaining all records, files, and reports related to financial aid activities; compile and maintain statistical data for inclusion in state and federal reports. Responsible for electronic submission of reports as needed
Attend appropriate conferences, seminars and workshops as budgeting allows
Responsible for collaborating with ISAC, ED, and internal RVC offices in the reconciliation of Financial Aid programs
Provide training for Financial Aid staff on technical software functions and updates as well as federal and state regulations
Work with the Student Loan Coordinator in the execution of student loans, financial literacy, compliance and reconciliation
Collaborate with Program Manager to return funds related to Return of Title IV funds calculations
Regular attendance is expected
Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted in the course of work
Other related duties as assigned

Minimum Qualifications
Bachelor degree required or Associates Degree with a minimum of 4 years' experience in Financial Aid and or Colleague or other ERP databases required. Ability to work effectively with students, parents, faculty and staff. Strong commitment to student success. Knowledge of computer information systems including automated financial aid higher education management systems, Demonstrated strengths in the areas of detail, organization, and problem-solving. Ability to work independently or in a team. Strong organizational, problem-solving, and time management skills. Strong analytical skills. A working understanding of relational database systems. Must be computer literate and have skills in Excel and Word. Must enjoy the challenges of a fast paced office where multi-tasking and change are essential.
