Job Description

POSITION:

Financial Aid Advisor

RESPONSIBILITY:

Financial Aid Specialist

QUALIFICATIONS:

Education Associates Degree (or equivalent) preferred; Business & Computer Training Preferred

Experience Background in technology education with special emphasis in adult education preferred.

Two years of experience working with some type of Federal Assistance Program preferred

Experience analyzing Federal Regulations and detailed data

Computer skills required (Word and Excel preferred)

Successful experience in communication to and with the public in person, electronically, and via telephone.

Certification None required

PERSONNEL CLASSIFICATION:

Non-Certified Support - Salary Schedule MT/ST12/STP (No Degree/Associate Degree/Bachelor Degree); Exempt

PRIMARY FUNCTION:

To assist the Financial Aid Specialist with the Financial Aid programs supported by ICTC

SKILLS:

  • Excellent human relation and communication skills

  • Computer skills: Word, Excel, Microsoft-Suite

  • Ability to understand tax documents

  • Strong Math and finance skills

  • Ability to understand federal regulations and laws (Title IV)

DEPENDABILITY:

  • Regular attendance following a designated work schedule.

  • Must be able to work extended hours and additional days/evenings as required by position responsibilities.

  • Must be able to attend and participate in meetings/conferences as scheduled within the district, state and out of state.

PHYSICAL/MENTALSTANDARDS:

  • Ability to read and comprehend varied and extensive written documents, regulation and reference materials.

  • Ability to meet and confer with individuals and groups concerning a variety of subjects, including confidential matters.

  • Ability to effectively multi-task.

  • Oklahoma Driver's license required, ability to operate a four-wheel vehicle in order to within the district.

  • Requires lifting, handling and carrying of such articles as books, manuals, files and related items.

EMOTIONAL EFFORT:

  • Moderate to extreme.

  • Frequent deadlines requiring concentrated effort and overtime work.

  • Must work on a variety of projects at the same time.

ESSENTIAL JOB FUNCTIONS:

(As assigned by the Financial Aid Specialist)

GENERAL ADMINISTRATION SUPPORT

  • PELL GRANT PROCESSING

  • Interview applicants

  • Assist in completing or correcting application forms

  • Determine individual cost of attendance

  • Calculate Pell Awards

  • Determine aid received from other community agencies such as OTAG, Oklahoma Promise, WIA, Voc. Rehab, etc.

  • Assist in monitoring enrollment, attendance and progress of aid recipients

  • Recalculate awards as necessary due to change in student enrollment status

  • Maintain an operation in compliance with federal regulations

  • Collect information necessary to verify Pell applications

  • Assist with reports deemed necessary for Title IV compliance

  • Maintain a working knowledge of federal tax requirements

  • Communicate the general requirements of Title IV Student Aid Programs to campus counselors and administrators

  • Maintain confidentiality of all student records

  • OKLAHOMA TUITION AID GRANT PROCESSING

  • Certify enrollment, residence and academic progress of OTAG recipients to Oklahoma State Regents for Higher Education

  • Complete eligibility and disbursement reports (Excel Spreadsheet)

  • Complete report to the Business Office for student checks

  • VETERANS BENEFITS

  • Assist FA Specialist as needed with Oklahoma State Accrediting and Veterans Administration audits

  • Maintain a working knowledge of federal regulation relating to Veterans benefits

  • ICTC FOUNDATION AND SENIOR SCHOLARSHIP

  • Assist with disbursement of applications to students

  • Participation in application reviews on committees in the absence of FA Specialist

  • Assist campus officials in processing veteran students' enrollment certifications

  • Collect information from other student services departments about aid recipients

It is expected for employee to be on time each workday as this is essential to the employee's job.

Other jobs/tasks as described and requested by the FA Specialist or administration.

CLERICAL:

  • Use of word processing (Word) and spreadsheet (Excel) software.

  • Assist with accurate preparation of required reports and forms using a personal computer

  • Communicate with prospective students concerning services

  • Maintain and store confidential files, records, textbooks, and supplies

  • Maintain appearance of office

  • Prepare and turn in orders for supplies and materials as needed

  • Participate in the performance appraisal review process by the FA Specialist

  • Greet students and patrons in a professional manner

  • Organize and maintain student records

SUPPORT:

  • Assist with tours

  • Assist with Career/Financial Aid fairs as assigned by the FA Specialist

  • Assist with other duties as assigned by the FA Specialist

RELATIONSHIPS:

  • Support the Financial Aid Specialist in fulfilling the primary function of the assigned work area.

  • Also, advise, consult, coordinate and work cooperatively with clients, student, staff and administration to meet the needs of the clients and ICTC employees.

PROFESSIONAL DEVELOPMENT:

  • Maintain communication between campus sites and Financial Aid Specialist

  • Assist campus administrators and instructors in maintaining information and services to clients in training

  • Participate in professional workshops in Financial Aid and Student Services

  • Attend the Fall and Spring Oklahoma Association of Student Financial Aid Administrator (OASFAA) as needed by the FA Specialist.

  • Attend the Oklahoma Veterans Administration Conference if needed.

PERSONNEL:

  • Participate in an annual evaluation of his/her performance with the FA Specialist

  • Submit all personal absence and travel expenditure request for the approval of the FA Specialist.

OTHER JOB FUNCTIONS:

  • Maintain and enhance professional competence through participation in professional activities.

  • Perform such other tasks, assume such other duties, and exercise such other authority as may be required or conferred by the FA Specialist or administration.
