MMCGME is comprised of 15 high profile member institutions in the Minneapolis/St. Paul Metro and Greater Northern Minnesota area. The Metro Minnesota Council on Graduate Medical Education (MMCGME) is a consortium of Minnesota teaching hospitals and the University of Minnesota. The MMCGME mission is to meet community needs for physicians by advancing quality graduate medical education through centralized state of the art information systems, uniform cost effective administrative process, core curriculum and common policies, promoting member organizations' teaching programs in a competitive health care environment. The MMCGME Services Group administers common processes for regulatory reporting and offers Twin Cities GME programs a single common application platform for program administration.

JOB RESPONSIBILITIES

Data Collection, Analysis, Reporting (70%):

  • Plan, develop, oversee and maintain budgets, cost negotiations and future fiscal planning. Gather/analyze data and draft reports as requested/required by director and/or customers (auditors, hospital reimbursement managers, central GME offices, and department level administrators.

  • Annual Financial Addendum preparation. Compile rates schedule by program and average rate. Compile associated financial budget schedules involving forecasted FTE's per resident billing rates, administrative costs and fixed fees.

  • Monitor month-end close of assigned hospitals/programs to ensure on-time reporting of accurate & complete data and preform semiannual reviews to verify compliance and discover, source, and resolve any issues outstanding.

  • Ensure the accuracy and availability of all data and documents required for CMS reimbursement, ACGME compliance, and all other metrics requested as outlined by programs, departments, colleges, and accrediting bodies.

  • Manage the MERC grant process: Creates MERC Reports for MMCGME stake holders (UMMS GME and UME and UMSOD students and residents accredited programs).

  • Review monthly affiliate hospital billing report generated from RMS; work with our data management person to ensure that all amounts billed for the month are consistent with billing terms on agreements.

  • Compile program financial FTE forecasts, budgets and history for residency and fellowship programs that need to make changes to program complements.

Operational processes and activities (10%):

  • Design processes for GME administration (conferences, evaluations, etc.).

  • Managing approved enhancement implementation; documenting requirements, process design, issue resolution, managing implementation timeline, training, and communication.

  • Liaison between customers/business partners and vendor (New Innovations) during design and implementation.

  • Acting as the point of contact for assigned hospital(s) and programs support and issue management.

  • Identify and bring forward ideas for process improvement and recommend solutions.

Customer Training and Support (5%):

  • Create and refine support tools and processes for delivering initial and continuing GME coordinator training with New Innovation's Residency Management Suite (RMS).

  • Assist in development of and help conduct reoccurring one-on-one/large classroom instruction sessions as well as additional ad hoc training sessions.

  • Manage HelpSpot web portal and provide timely assistance to our customers/business partners.

Special projects, meetings and events (10%):

  • Represents the MMCGME Services on committees, to other administrators and outside agencies with general authority to make commitments on administrative policy and procedures.

  • Lead and facilitate committees and workgroups, including following up on action items.

  • Participates in interviewing, hiring, training and evaluation processes of office staff. Knows and follows appropriate rules and regulations.

Respond to ad hoc requests (5%):

  • Triage various unique and one-off requests from individuals/programs within our sponsor teaching hospitals or the University of Minnesota and construct an appropriate plan/solution/response according to their needs and environment.

  • Perform ad hoc financial and data analysis on-demand and as-needed for MMCGME Director or any of our sponsors.

  • Make individual operational decisions based on recorded outcomes or feedback for the betterment of the department and our sponsors.

Qualifications

REQUIRED QUALIFICATIONS

  • BA/BS plus at least 4 years of professional work experience or a combination of related education and work experience to equal eight years.

  • Demonstrated experience with process improvement, detail coordination and project oversight.

  • Ability to exercise independent judgment and discretion.

  • Demonstrated interpersonal and customer service experience in a multi-tasking environment.

  • Demonstrates resourcefulness: Identifies errors and problem solves.

  • Event planning experience.

  • Excellent written, oral and presentation skills.

  • Experience with data analysis and process improvement.

  • Experience with small and large group training and presentations and one on one training.

  • Proficient Microsoft Office skills to include Microsoft Word, Excel, PowerPoint.

  • Ability to deal effectively with ambiguity and exercise a large amount of independent judgment and discretion on important matters.

  • Uses survey development tools to construct and deliver surveys online (e.g., Qualtrics).

  • Advanced Microsoft Office skills to include Microsoft Word, Excel, and PowerPoint.
