FINANCE DEPARTMENT ADMINISTRATOR
We are seeking an individual with exceptional administrative skills to provide support to our Finance team.
Provide general administrative support for three VP's of Finance and several Finance team members, including: copying, filing, telephone coverage, data entry, correspondence, document compilation and management etc.
Be proactive in anticipating needs of the members of the department, in identifying and implementing work practices that can contribute to departmental efficiency and productivity
Heavy calendaring. Coordinate meetings and conference calls
Schedule quarterly earnings-related meetings
Update the department organizational chart and department email distribution lists as need
Process all Fed Ex requests. Take packages to Fed Ex station when needed
Schedule onsite interviews
Manage all catering needs
Manage travel arrangements
Manage expenses in Concur system
Update quarterly earnings timeline and distribute
Assist with compiling and editing power point presentations
Maintain calendars, spreadsheets and contact database
Assist with preparing and tracking documents for SOX process
Scan invoices into Coupa database
Act as the Company Receptionist on occasion, as required
Other duties as assigned
At least 5 years administrative experience supporting senior level executives
Requires strong MS Office skills, including MS Word, MS Onenote and an in-depth knowledge of MS PowerPoint
Excellent attention to detail and a strong work ethic under the pressure of deadlines
Team player who thrives in a fast-paced environment
Problem-solver with the ability to multi-task
Ability to take direction from multiple supervisors and prioritize assignments to meet all deadlines
Able to work a standard work schedule of 8am-5pm Monday-Friday (and additional hours as required)
Strong oral and written communication
Familiarity with financial terminology a plus
Prior biotech/pharmaceutical experience preferred
Proven ability of being productive and successful in an intense work environment
