Position Description

The Finance Coordinator position is part of the

Regional Finance Team and supports our finance & sales team. The positionwill assist on the creation of sales agreements and coordinate on-boarding ofcustomers. Works on assignments that are complex in nature where considerablejudgment and initiative are required in resolving problems and makingrecommendations. This function requires well developed skills inbusiness analysis, process improvement and documentation of customer salesagreements.

Key Responsibilities

  • Provide support to regional team

  • Coordinate/review the on-boarding of new customers, process account applications, prepare accounts for ordering and provide customer service to customers

  • Initiate account loading/changes, pricing updates/maintenance, perform credit and invoice research and other customer account management activities

  • Manage SharePoint in the creation and maintenance of sales agreements.

  • Provide customer reporting support

  • Create reports to provide insight to business partners on sales results.

  • Assist with delivery issues, perform credit and invoice research, item and special order requests and other customer facing activities

  • Maintain customer files and equipment

  • Maintain, organize and monitor customer files to include load forms, customer enrollments, licenses (DEA, Pharmacy, Controlled Substance, etc)

  • Order and distribute customer equipment, maintain tracking system for customer equipment.

  • Manage Office

  • Ensure office is well organized and equipped as needed with supplies and other items necessary for day to day operations

  • Maintain office records

  • Provide clerical/administrative support to the regional management team

  • Process data and generate routine reports regarding sales results, and market conditions

  • Coordinate tracking and monitoring of new accounts, program participation, and key account information

Minimum Requirements

HS Diploma, Vocational Training or Equivalent; 4 years advanced administrative support experience. Associate Degree a plus.

Critical Skills

  • Computer proficiency in MS Office Suite, including Intermediate Excel skills and PowerPoint

  • Excellent communication and relationship building skills

  • Strong organizational, multi-tasking and prioritization skills

Additional Knowledge & Skills

  • Experience in SharePoint and SalesForce.Com preferred
  • 2 years SAP experience

Coordinate the resolution of retailer discrepancies as a result of shipping overages/shortages/mixed stock with Team Leader and HO. Conduct physical stock checks, special order assistance and shipping inquiry. * Coordinate the UFS inventory and receipts with the (INV Rep). Process delivery notes for parts scrapping. Process RWLs summarizing returns resulting from retailer termination/buy-back. * Act as a liaison between HO Parts Logistics departments to support the PDC processes. This can include data collection, reporting (SAP, DView, Microsoft Access, etc.) and support for any cross functional processes. * Collect, track and analyze warehouse productivity and quality measures. Maintain reporting and KPIs that monitor PDC progress in operations and special projects. Track performance of local vendors, reporting any performance issues to management. * Coordinate ISO and ICS requirements for PDC by periodic collection, review and adjustments to on-line process documentation. Responsible for assessing discrepancies and communicating findings. Maintain any Corrective Action Reports (CARs) and update all related documentation and information. * Coordinate returns of parts and/or packing materials to DAG. * Assist in other warehouse functions and perform administrative tasks related to the PDC Operations team as required. Research and respond to requests relating to customer service issues. * Creates and maintains office procedures for recordkeeping systems, forms control, office layout and budgetary and personnel requirements. Analyze operating practices and implements changes as needed. Verify monthly budget comparison statement and analyze discrepancies.
