Fidelity Bank is seeking a Final Documents Specialist to review final documents for accuracy, ship final docs to investors in a timely manner meeting all required deadlines and other duties as assigned.

Essential Duties and Responsibilities:

  • Audit title policies received via mail and Warehousing Department

  • Monitor and clear monthly investor outstanding document reports as assigned by Department Supervisor

  • Follow up with closing agents on outstanding final documents

  • Responsible for correcting and follow-up of all errors or issues found during Final Documents audit

  • Responsible for scanning and uploading all trailing/corrected documents

  • Process mail daily for recorded deed, assignment, and final title policy

  • Update recording information in Data Trac, Calyx and Lending QB daily as applicable

  • Prepare transmittal document specific to each investor for documents being shipped.

  • Prepare check requests for assignments and deed recordations

  • Maintaining spreadsheets on all oustanding docs reports and keeping management well-informed

  • Process manual assignments for recording

  • Track shipment of final documents to investors

  • Administrative duties include: vault maintenance, filing & shipping

Responsibilities include maintenance of Corporate Security's database, handling queries from field stations and internal stakeholders, ensuring operational procedures satisfy regulatory requirements, investigating violations, developing corrective action measures and acting as a liaison between TSA and Delta for regulatory matters. The database of regulations includes guidance from regulators such as the TSA and other civil aviation authorities and must be maintained current, applicable and accessible for many stakeholders. Internal policy and procedures in the Delta Security Manual, must also be readily available, complete and up to date. Maintenance, protection and controlling access to the Corporate Security database is a responsibility of the Specialist. Field stations and corporate stakeholders require support to understand complex regulations related to passenger, aircraft and baggage security. The Specialist is the primary contact for field stations, Regional Security Managers and other internal stakeholders such as Airport Customer Service, Charters and the Technical Operations Center. Ensuring operational processes meet security regulatory requirements is a responsibility of the Specialist. This is accomplished by reviewing written procedures and when necessary coordinating surveys of operational areas. The Specialist also works closely with vendors which provide security services, to ensure their services and training sufficiently address regulatory requirements. When regulatory violations occur the Specialist assists the station in investigating violations and developing corrective action measures. Action taken is documented and shared with regulators and Delta Legal when necessary in order to mitigate exposure to civil penalties. When there is interaction between regulators and Delta stations or stakeholders, due to an inspection or investigation, the Specialist acts as a liaison providing support and guidance. Regulatory requirements are often complex and open for interpretation. The Specialist understands Delta's desired approach to meeting regulatory requirements and participates in ongoing discussions with stakeholders and regulators. Must have a college degree and a minimum of 3 years of related analytical work experience in an area directly related to airline operations such as Airport Customer Service, Technical Operations, Charters, In-Flight Services or Flight Control. A background in the application of security procedures and regulatory compliance is preferred. Strong writing skills are required as well as a working knowledge of the MS Office suite of applications. An ability to quickly learn new computer applications is required. Strong interpersonal and communication skills are required as well as a proven ability to work effectively with representatives from all levels of business from the frontline to the executive, both internal and external. Ability to work as a project leader or as a team member is required along with a strong degree of self motivation to complete projects alone. Strong organizational, oral presentation and analytical skills are required as well as attention to detail. Must be able to work well under pressure and effectively balance multiple, rapidly shifting priorities with little supervision. Some travel is required both domestic and international.
