Duties

  • THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*

The major duties include but are not limited to:

  • Ensures that all necessary health/administrative information is integrated into Computerized Patient Record System (CPRS) through personal computer/Veterans Health Information Systems and Technology Architecture (PC/VISTA) Imaging scanning hardware and software;

  • Verifies that all images are clear and indexed to correct patient and attached to the correct document in CPRS;

  • Confirms information interchange by communicating with clinical and administrative team members;

  • Ensures all volumes are mailed to the originating location or other health care facility and that transfer forms, mailing labels, and maintenance logs are properly completed;

  • Performs duties related to the receipt, intake, scanning, indexing, quality control, and transfer of health and administrative information;

  • Controls all information arriving and leaving the File Room/Scanning Unit and processes requests for health/administrative information presented in person, by mail, fax, telephone, or e-mail;

  • Processes a request for fax and personal computer (PC) fax is necessary and will interface with PC applications as well as numerous VISTA, VISTA Imaging, and CPRS applications;

  • Provides administrative support to members who include filing medical and administrative documentation, requesting other VA records, and other special projects deemed appropriate by the Supervisor, File Room/Scanning Unit;

  • Undertakes a variety of miscellaneous administrative duties;

  • Determines the urgency of the request;

  • Supports Release of Information for patient information requests, copy of records, scan documentation, etc.;

  • Pulls and retrieves medical records for other indirect patient care activities, i.e., research, quality management, external peer views, utilization reviews;

  • Performs all activities of the file room, including but limited to, search lost files or charts, and expediting, chart maintenance, loose mail filing, chart retrieval, lost charts, record inactivation; and,

  • Performs all other duties as assigned.

Work Schedule: Monday through Friday, 7:30 am

Qualifications

English Language Proficiency Requirement: In accordance with 38 U.S.C. 7402(d), No person shall serve in direct patient care positions unless they are proficient in basic written and spoken English. You must be proficient in basic written and spoken English in order to perform the duties of this position. ~AND~

This position includes a Selective Placement Factor (skill, knowledge, ability, or other worker characteristic basic to - and essential for - satisfactory performance of the job). Selective Placement Factors are a prerequisite to appointment and represent minimum requirements for a position. Applicants who do not meet it are ineligible for further consideration.

The Selective Placement Factor for this position is: "Proficient in basic written and spoken Spanish." NOTE: Applicants must possess the ability to speak and write fluently and proficiently in Spanish to receive consideration for this position. Applicant's inability to proficiently speak and write in Spanish will result in an ineligible rating. In addition to the English Language Proficiency and Selective Place Factor, to qualify for this position at the GS-4 level, you must meet one of the following requirements:

Experience: You must have at least one (1) full year of general experience in a position that was progressively responsible clerical, office, or other work that indicates your ability to acquire the particular knowledge and skills needed to perform the duties of the File Clerk

  • Scanning position. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates, AND hours worked per week. ~OR~

Education: Successfully completed two (2) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation. ~OR~

Combination: Equivalent combinations of successfully completed post-high school education (beyond the first year) and general experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work of the position is mostly sedentary; however, some bending, stretching, walking, and lifting is required.

Work is performed in an office setting in the File/Scanning Unit within the Medical Center. Required to walk to various hospital locations to retrieve medical records.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
