We currently have a part time opening for a Field Operations Support Assistant at Keaton's Redwood Chapel of Marin in Novato, CA. Provides administrative and clerical support to a funeral home, cemetery, crematory or a combination of these facilities. Other general duties include greeting the general public, answering questions and providing general information on services offered in a polite manner with a goal to meet and exceed customer expectations.


Provide Clerical Support

  • Performs day to day clerical duties as required which may include:

  • Preparing death certificates, prayer cards and related documents

  • Greeting family members and friends

  • Completing required permits and / or certificates

  • Receiving and / or processes payments and/or contracts

  • Preparing and processing Veteran's Paperwork

  • Ordering supplies, filing and responding to inquiries

  • Ensures that the required documentation to support requested products and services is accurate and complies with state, federal and company rules and regulations, to include:

  • Preparing and distributing daily interment or cremation schedules, reports, and documents

  • Maintaining and verifying the accuracy of logs associated with markers, interments and/or cremations

  • Acts on calls from external customers, including other cemeteries and mortuaries, to provide product and service selections, to include disposition of remains, contracts, and payments

  • Coordinates the ordering of memorials and related products and the control of storage inventory for vaults and markers

  • Oversees the processing of installation orders to grounds and maintenance departments

  • Enters contracts and cash receipts in HMIS when necessary

  • Prepares marker/ monument placement paperwork

  • Composes edits and provides obituaries to newspapers and MeM

  • Processes account payable transactions

  • Assists Sales, Community or Family Service Counselors as needed

  • Assists location management with daily operations including SOX compliance, delivery process and liability release

  • Assists with payroll

  • Prepares for funeral services by preparing sign-in books, ensuring veteran's paperwork is completed, and assisting professional funeral staff as directed

  • Conducts blind checks

  • Assists with MEM preparation and service materials

  • Monitors and follows up on marker orders; tracks memorial orders

  • Maintains Dignity for Excellence location book where applicable

  • Acts as backup to Receptionist

  • May design and manage MEMs including monuments and markers

  • May maintain location website to include accuracy of obituaries, service information, etc.

Customer Service

  • Communicates client family's needs promptly and accurately to the appropriate staff member.

  • Conveys a sense of concern and empathy with client family members at all times.

  • Demonstrates a caring attitude when problems arise while calmly and efficiently bringing the situation to the attention of a staff member who can provide resolution

  • Responds to customer inquiries via telephone, internet and in person

  • Maintains professional and cooperative relationships with county clerk, medical examiner and physicians

  • Keeps accurate records

  • Performs other duties as assigned

Requirements & Qualifications


  • High School or GED equivalent


  • None required


  • 1 - 2 years' experience in an office clerical or customer service capacity required

  • Experience working in a customer-focused and fast-paced professional environment required

Knowledge, Skills & Abilities:

  • Working knowledge of office equipment including computers, calculators, copiers, printers, and fax machines at a level consistent with experience

  • MS Office Suite experience is highly desirable

  • Good verbal and written communication skills

  • Strong organizational skills

  • Basic mathematic skills

  • Ability to apply common sense understanding to carry out written or oral instructions

  • High level of compassion and integrity

  • Problem solving skills

  • Ability to multi task and set priorities

  • Detail oriented

  • Ability to maintain confidentiality

Summary: The Clinical Coordinator works closely with assigned clinics, BioMarin field sales organization, and Rare Connections (RC) personnel to ensure timely completion of product response-testing and adherence-related activities for patients enrolled in Rare Connections. In this role, the Clinical Coordinator assists as liaison with assigned patients to ensure compliance with the clinic's protocol, advocate for patient needs, conduct patient-level education and provide referral-related information to clinic personnel and to RC team. The Coordinator collaborates with individual patients and clinic personnel to address specific issues and needs that arise following the decision to initiate therapy with a BioMarin product. For patients moving to chronic therapy, the Clinical Coordinator addresses specific issues that may impede successful adherence. Responsibilities: Liaises with Assigned Patients * Meets new referrals and establishes methods and frequency for direct patient communications (e.g. personal visits, telephone calls, email, other) * Informs BioMarin affiliates of appropriate patient communications and follow-up approach on an ongoing basis Ensures Completion of Clinic's Response Testing Protocol * Defines the protocol used for product response testing: * Rare Connections enrollment * Pre-starter patient consultation * Coordination of starter logistics (location and timing of drug delivery as well as any baseline clinical data needs) * Supplement the Clinic's efforts in coordinating patient's baseline testing and follow-up, clinic visit requirements, and other ancillary testing * Implements coordinated plans with the patient for addressing compliance-related issues * Provides routine communication of patient activities and progress with the clinic and BioMarin Advocates for Patient Needs * Assesses case-specific advocacy needs (e.g. assistance with scheduling clinic visits, completing RC or other * Coverage-related paperwork, transportation or language translation-related logistics, as other patient-specific needs identified) * Implements integrated plan to address the patient-specific needs Conducts Patient-Level Education * Provides detailed training about appropriate BioMarin product therapy – efficacy, safety, dosing, administration, storage, etc * Addresses patient questions and perceptions from referrals about the role of the product in treating the clinical disease state for which the product is FDA approved * Responds to patient and clinic inquiries about Rare Connections and other BioMarin-related support programs * Evaluates patient comprehension of key product and support program information and develops patient-specific plans to reinforce educational needs * Enrolls referrals in BioMarin-related patient education and informational programs as desired by the patient or caregiver * Implements integrated plans to address the patient-specific needs Provides referral and program-related information to clinic personnel and BioMarin affiliates * Assesses needs for ongoing clinical case management reports that detail patient specific response testing information, status (within response testing protocol), and follow-up activities * Completes and submits detailed reports profiling clinic and patient capabilities and needs Experience: * At least 4 years of direct patient care experience and comfort with peer-to-peer clinical discussions involving individual patient cases * Relevant pharmaceutical or device manufacturer experience desirable * Fluency in Spanish language skills desirable but not required * Demonstrated ability as strong team player with an orientation toward individual patient advocacy * Demonstrated adaptability in ambiguous situations * Demonstrated compassion and empathy to patient populations that can exhibit significant neurocognitive compromise * Demonstrated self-starter with excellent communication and follow-up skills * Familiarity with different types of patient adherence tools and approaches Education: * Education and credentials as an allied health care professional (RN, Pharm D, RD, etc) * Bachelor of Science required We are an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability status, protected veteran status, or any other characteristic protected by law.
