  • Perform general administrative and office support activities for the Mid-Atlantic Fiber Procurement organization for example, answering phones, preparing and editing documents such as letters, contracts, spreadsheets and presentations; creating and maintaining electronic and paper filing systems and records

  • Obtain relevant information to setup new vendors, including ACH, W-9, contact information, contracts, certificates of insurance, and sustainability policy information

  • Obtain data from various systems and people to accurately populate reports on a daily basis for management and other functions

  • Work with fiber procurement or Operations staff to ensure requisitions / purchase orders are setup correctly to receive material at Enviva sites

  • Work with Finance and Accounting staff to ensure vendors are paid accurately and timely each week

  • Lead or contribute to ad-hoc projects as needed

  • Compile and distribute anonymous transactional data to third-party subscription service providers

  • Serve as a backup for other Fiber Administrators during absences / vacations

Requirements

  • High school diploma or GED

  • Minimum of 3 years administrative, accounts payable, contract / vendor management, or related professional experience

  • Demonstrated proficiency working with Microsoft Outlook, PowerPoint, Excel, Word

  • Demonstrated experience working with and managing databases

  • Highly organized, with exceptional attention to detail

  • Humble quick to point out the contributions of others, slow to seek personal attention, shares credit, emphasizes team over self and defines success collectively rather than individually

  • Associate or Bachelor degree

  • Prior experience with Aldata software ReportBoss, YardBoss, ScaleBoss or other fiber procurement systems (e.g., SMS Turbo)

  • Prior experience with document and communication tools like DocuSign and Calling Post

  • Prior experience in logging, forestry, and / or wood products industries Working knowledge of sustainability certification programs

The NC Administrative Office of the Courts (NCAOC), General Services Division, is seeking a qualified candidate who will be responsible for the creation of purchase orders, consultant services, and personal service agreements for the Judicial Branch of Government in accordance with General Statute 7A-343 (6). Administrative duties include verification of availability of funds, proper budget code assignment, and contract management. Primary responsibilities include, but are not limited to the following: * Commodity buys include but are not limited to: IT network hardware (switches/routers/cross-connects, etc.) personal computers, software, telephones, cable, peripheral equipment as well as maintenance, paper, outsourced print work, and miscellaneous equipment such as postage equipment, courtroom recording system, and microfilm. * Identify sources of supply and obtain competitive pricing for items. * Analyze quotes or bids received to determine bidder's responsiveness to requirements. * Prepare specifications for bids or requests for proposals and contract amendments. * Evaluate and award bids to selected vendor(s). * Establish and maintain commodity contracts. * Issue purchase orders and coordination of execution of purchase agreements. * Apply sound business judgment and provide strategic guidance to management in a deadline-oriented environment. * Conduct market research to identify changes in technology, sources of supply, cost, and quality. * Review requisitions for justification, determine availability of funds, and draft purchase orders. * Manage and coordinate expenditures to prevent overdrafts of line item accounts. * Maintain procurement records and process documentation. * Other duties as assigned. This position reports to the Procurement Manager. Work hours are 8:00 AM - 5:00 PM, Monday - Friday. Knowledge, Skills and Abilities / Competencies Knowledge of: purchasing laws, rules, and regulations pertinent to state government and the NCAOC General Services Division; the state budget development and approval process; the various grades and prices of materials or commodities being purchased; the application of accounting and budget practices and methods in relation to purchasing functions; IT related purchasing; and communications and information processing technology. Skills in: MS Word, Excel, Outlook, Adobe Acrobat Pro, and PowerPoint. Ability to: research data, evaluate product specifications, functions and related costs and make a recommendation on the same; remain within budgeted amounts and when appropriate make recommendations for a funds transfer; maintain and evaluate records; prepare reports and tabulations from these records; establish and maintain effective working relationships; communicate both orally and in writing; and work well under pressure with multiple deadlines and conflicting priorities. Minimum Education and Experience Requirements Bachelor's degree in business or accounting and three (3) years of experience in a purchasing operation with direct procurement responsibility; or an Associate's degree in business or accounting and five (5) years of experience in a purchasing operation with direct procurement responsibility; or an equivalent combination of education and experience. Management prefers candidates with experience with the NC Accounting System (NCAS), NCAS chart of accounts, and eProcurement. Attach cover letter and résumé.
