Job Description:

This position serves as the face of the Writing Center. Office assistants provide expert, friendly customer service, while also being punctual and reliable. As the first person that clients interact with in the Writing Center, it's crucial that office assistants are friendly, talkative and ready to help. In addition, office assistants are expected to communicate efficiently (via email, phone and in person) and work effectively with a diverse staff and clientele. You must be able to multitask during peak service times. Job duties include:

  • Manage daily consulting operations in our Anschutz location

  • Communicate effectively with clients who visit, call or email the KU Writing Center, ensuring seamless customer service

  • Manage key components of our online appointment system

  • Understand and promote KUWC services as posted on the Center's website

  • Communicate effectively with staff, consultants, and other office assistants to keep daily operations running

  • Support staff by answering the phone and taking messages, answering emails, creating and editing documents, delivering mail, helping with social media accounts, and helping with special projects

  • Present informational class visits and staff information tables to increase student awareness of Writing Center services

  • Assist in organizing and staffing special events such as Graduate Research/Write-Ins and Late Night at the Roost.

  • Communicate with clients from all backgrounds in a respectful manner

  • Perform other duties as requested

As an office assistant, you will work together with writing consultants and administrators to foster a community of writing and to provide service to KU's diverse global community when the Writing Center is open. You will have the distinct opportunity to meet and collaborate with thousands of individual students with a variety of identities, life experiences, worldviews, languages and voices, offering you many chances to develop socially, academically and professionally. After one semester of service:

  • Additional development is available to continuing office assistants, such as the Lead Office Assistant position.

  • Opportunities for special projects or assignments with coordinators and/or administrators.

Work Schedule:

  • The KU Writing Center has multiple locations on the KU Lawrence campus, and shifts are scheduled between 8:00 am-8 pm Monday-Thursday, 8:00 am-5 pm Friday, and 1-5 pm Sunday. As an office assistant, you must be willing to work no fewer than 9 hours per week, and your schedule will be dependent on KUWC needs and your availability. In addition, you must secure coverage for planned absences and be willing to cover others' shifts when necessary.

Office Assistants . All office assistants are required to participate in office assistant development meetings once each month.

Required Qualifications

  • Undergraduate student at KU (enrolled in at least six credit hours)

  • Experience in Outlook, Word, Excel, Publisher, and Acrobat as evidenced in application materials.

  • Excellent written communication skills as evidenced in application materials

Preferred Qualifications

  • Excellent oral communication skills as evidenced in screening interview

  • Previous telephone and customer service experience, with ability to deal courteously and effectively with clients

  • Multicultural and/or multilingual experience

  • Working knowledge or ability to quickly adapt to technology like Skype for Business/Lync, myCommunity (Sharepoint) and Drupal
