Position Summary:
VCU Career Services is hiring a part-time, hourly project coordinator to help implement a grant-funded initiative focused on the transformation of on-campus Federal Work-Study (FWS) positions into elevated career development opportunities. In this capacity, the Federal Work-Study Internship Coordinator will help to bridge a gap between financial need and access to transformative work-based learning experiences. The goal of this project is to continue to expand FWS experiences to be more internship-like and, therefore, transformational to students' learning, development, retention, and long-term employability. This role fulfills an important access and equity need for VCU students engaging in FWS experiences.
The primary responsibilities of the FWS Internship Coordinator will be to oversee project progress and assessment, support professional staff supervisors across campus participating in the transformation, coordinate and facilitate supervisor and student compliance, development, and recognition efforts, and communicate with and between key partners throughout the year. This role involves regular contact, collaboration, and meetings with action-team members (i.e., representatives from departments/units such as VCU Career Services, Student Financial Services, VCU REAL, Student Success, Human Resources, and Student Affairs) to discuss project progress, evaluation metrics, the student and supervisor experience, and improvement opportunities. The FWS Internship Coordinator will complete action items to ensure this grant project moves forward effectively and efficiently and achieves milestones on-time and within budget.
The staff member in this position will work part-time for 20 hours per week in a flexible work arrangement and will report to the VCU Career Services Employer & Experiential Development (EED) team.
Members of the VCU Career Services team also regularly engage in professional development, including in-house and external training and conference opportunities, to make sure we are able to best serve students and alumni, to stay current with industry standards and changes, to revise program and services to reflect trends, and to increase our office's visibility, both at VCU and on a broader scale.

Core Responsibilities:
Participant Engagement, Outreach, Recruitment, Training, & Support (40%):
Provide thorough and ongoing support for all Federal Work-Study internship supervisors (to include policy compliance, such as use of Handshake at VCU) - including enhancing and conducting onboarding training ahead of the program's second year
Advertise transformed Federal Work-Study internships to eligible students in consultation with VCU Career Service
Communicate requirements and support completion of internship learning modules, reflection exercises, and mentorship meetings to all participating supervisors and students
Plan, support, and/or facilitate engagement, development, recognition, and appreciation opportunities for participating Federal Work-Study supervisors and interns
Reporting, Assessment, & Evaluation (40%):
Use and enhance tracking systems and processes to monitor supervisor and student completion of required internship program activities, and conduct targeted outreach to individuals who have outstanding requirements
Solicit, collect, analyze Federal Work-Study intern pre-, mid-, and post-experience assessments to gauge career development/readiness, satisfaction, learning, and other outcomes for continuous improvement of user experience and training opportunities; and conduct similar assessment and analysis regarding the supervisor/mentor experiences
Utilize data to communicate progress and outcomes as well as support long-term growth of the Federal Work-Study internship project at VCU
Operations & Resource Development (10%):
Perform duties to support team operations and strategic initiatives, as assigned, such as assisting with the annual Federal Work-Study Hiring Event and other student employment and experiential learning experiences
Plan and conduct outreach to recruit prospective supervisors for Federal Work-Study internship transformation in the grant's second year
Adhere to principles for professional conduct and ethics as outlined by National Association of Colleges and Employers (NACE)
Campus Collaboration & Relationship Management (10%):
Develop and maintain collaborative relationships and communication with team members and campus partners - namely faculty, staff, and students involved in the grant work - to ensure successful project development, marketing, delivery, and evaluation
Maintain contact and actively engage in regular meetings with campus action team members (e.g., representatives from departments/units such as Career Services, Student Financial Services, REAL, Student Success, Human Resources, and Student Affairs)
Qualifications
Minimum Hiring Standards:
Completed Bachelor's degree or relevant combination of education, training, and experience
Project and time management skills, including ability to regularly balance a variety of tasks and multiple priorities
Written and verbal communication skills
Ability to understand, comply with, and train others on set policies and procedures, as well as handle confidential situations, student information, and data appropriately
Demonstrated experience developing positive relationships, partnerships and alliances in a professional setting
Proven skills in attention to detail that could be applied to tasks such as data collection, assessment, and reporting
Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Qualifications:
Experience working in a higher education setting, including a college career center or student services department
Experience with VCU systems like Handshake, Navigate, Banner, RealSource, ChromeRiver, Microsoft Office, and Google Suite
Direct experience in a work setting with data collection, assessment, and reporting
Other Position Details:
This position currently has the ability to be primarily remote with the exception of pre-scheduled in-person training, meetings, or events. This position's schedule of 20 hours per week will be set in collaboration with the role's supervisor, and should occur Monday-Friday between 7 a.m. and 6 p.m. It is important to note that this standard could change in the future depending on Strategic Enrollment Management and Student Success (SEMSS) Division priorities and campus policy.
This role is a restricted position and is a grant-funded, time-limited position, currently slated to end in October 2025, with potential for extension based on the success of the pilot grant implementation and available funding.
