The Food & Beverage Scheduler & Payroll Administrator is an integral part of the Food & Beverage Administrative Team. This individual must primarily maintain calendars/meetings/colleague schedules for the Food & Beverage Division, especially the Banquet Department. Organizational skills, detail orientation, computer proficiency, and excellent communication skills are a must for this role.
The Food & Beverage Scheduling Coordinator duties include, but are not limited to:
Create schedules for entire F&B Division;
Banquet Server Schedule to include
Full time
On -call
Staffing partners
Event Service Set Up Team
Outlets to include
Vitascope Restaurant,
601 Delivery (In room dining outlet),
8 Block Bar & Restaurant, Addendum.
Overall scheduling for Exchange Visitor J-1 interns that work throughout division
Assist with Culinary and Stewarding staffing as needed
Maintaining schedules within hotel productivity guidelines and standards, and reporting out if it does not fall within guidelines.
Manage associates requests off, PTO's and schedule availability
Assist in managing Exchange Visitor rotation schedule as they work throughout the division for a 12 month period
Schedule and maintain communication with multiple outside labor companies
Send Availability email weekly for on call staff to confirm shifts
Assist in ensuring that all schedules are accurate and updated per the EO changes, pop-up, revisions or change in Outlet forecast covers
If changes are made contacting associates of that change
Create the Hours of Operation Chart weekly, identifying which outlets should be open each day and what time
Create projections of upcoming business levels for staff and staffing partners, including black- out dates. On a rolling 90 day process
Schedule weekly/monthly meetings for dept meetings
Attend daily labor meetings- Project Olympia; Once a week write weekly labor usage synopsis
Maintain an updated Contact List for all Event Services, and Outlets staff
Maintain and update New Hire training guides
Take meeting minutes for all Event Services Department Meetings/ Outlet Department Meetings
Attend daily EO Meetings, take notes for successful execution of events.
Update EO Boards on a daily basis, with changes and staffing updates
Update associate time cards in payroll system and keep record of outside labor usage.
Assist in scheduling interviews with the leadership in the F&B division.
Coordinate with Human Resources to assist with New Hire Onboarding and Uniform Fitting and System Enrollment
Request system access and maintain up to date documents for all F&B: Outlets, Banquets & Convention Services associates
Complete F&B Division Weekly Payroll
Serve as a professional liaison between all departments of the hotel
Complete or assist with various aspects of pre-event, main event, and post-event details as assigned by managers
Support management team with various administrative tasks including making signs and labels, printing menus, compiling reports, digital presentations, maintaining office supplies, etc.

Schedule structure is subject to change based on operation needs, but typical schedule could be Sunday to Thursday.
Sundays, Mondays, Wednesdays, and Thursdays are a must due to scheduling and payroll deadlines.
The ability to work in a fast paced, ever-changing environment where managing competing priorities is common.
Previous experience with personnel scheduling and schedule maintenance
Previous hotel and/or Food & Beverage administrative or supervisory/management experience
Must have a positive attitude and willingness to go the extra mile to exceed the expectations of both internal and external guests
Exceptionally detail orientated and organization critical
